AI call center agent: how it works and how to set it up

An AI call center agent is a single voice agent that answers or places phone calls for one defined purpose, such as taking enquiries, qualifying callers or confirming appointments, and logs every call against the contact. On the levelpartner.ai platform you build it in AI Agents, give it a phone number, a script of goals and a set of actions, and it talks to callers in natural speech. This article answers how to design and configure one agent well. Running several agents together as a phone operation is covered in AI call centre.

One agent, one job

The most reliable voice agents do one thing. An agent that answers new enquiries, handles complaints and chases invoices will be mediocre at all three. Give each agent a single job and a single success measure: a qualified enquiry logged, an appointment confirmed, a callback booked.

That narrow scope also makes testing manageable. You can write ten realistic calls for one job and hear every way the agent responds. Ten calls cannot cover three jobs.

Before you start

  • A phone number in the platform for the agent to answer or call from, with your caller ID settings in place.
  • A one-page call brief: the purpose, the information to collect, the questions callers ask and the answers.
  • The calendar the agent may book into, if booking is part of the job.
  • A transfer number or user for calls that need a person, and the hours that person is available.
  • A decision on call recording and the disclosure wording you will use at the start of each call.

How to set it up

  1. Go to AI Agents > Voice AI, then open Agent List.
  2. Click + Create Agent.
  3. Select Create Custom Agent, then click Continue.
  4. Enter an Agent Name that states its one job.
  5. Select a Voice, a Model and a Language, then set the Timezone.
  6. Write the prompt from your call brief: role, limits, objective.
  7. Configure the Welcome Message for inbound and outbound calls.
  8. Click Save.
  9. Open Knowledge Base and select the base holding your FAQ.
  10. Open Actions, click + New Action and choose Call Transfer.
  11. Name it, set when it triggers, and save it.
  12. Repeat for Appointment Booking and Update Contact Field.
  13. Open the Deploy tab and select the agent's phone number.

Writing the call brief

Write the brief as a person would brief a temp on their first morning. What is this line for? What do callers usually want? What should never be said? Spoken conversation punishes long answers, so keep each answer in the knowledge base to two sentences a caller could follow without seeing it.

Spell out the information to collect and why. "Ask for the postcode so we can check we cover the area" produces a natural question. "Collect postcode" produces an interrogation.

Illustration: a 50-person real estate firm on its lettings line

Say the lettings line gets 60 calls a day, most about viewings and repairs. An inbound agent would answer every call, book viewings into negotiators' calendars, log repair reports with the property and urgency, and transfer emergencies to the duty manager. If two or three calls an hour still need a person, negotiators would pick up those transfers instead of every ring.

Inbound or outbound

Inbound agents answer when people call you. They suit enquiry lines, after-hours cover and overflow when your team is busy. Outbound agents place calls from a workflow, for example to a lead who requested a callback or a client whose appointment is tomorrow.

Outbound calling carries more rules. In the US, the UK and most other markets, automated marketing calls to individuals are restricted and need the right consent. Use outbound agents for calls the contact asked for or expects, and check your obligations before anything else.

The common mistake

The usual mistake is a long greeting. Callers want to say why they rang. A greeting of one short sentence plus the disclosure, followed by "how can I help?", keeps them on the line. Everything else can come later in the call.

What it replaces

For a firm of 10 to 250 people, the AI call center agent replaces missed calls and voicemail more than it replaces staff. Every unanswered call from a prospect is a lead that tries the next firm on the list. The agent answers every one, collects the details and gets the right ones to a person while they still matter. For the reception role in particular, see AI phone receptionist.

Weekly running time

Listen to five calls a week, chosen from transfers and calls with no outcome. Those show you where the agent struggles. Update the knowledge base and the brief, then call the agent yourself to confirm the fix. Thirty minutes a week is typical once the first month is over. Call minutes are billed as used.

When not to use it

Do not put a voice agent on calls that are usually emotional or complex: complaints, bereavement, disputes over money. Do not use it for calls where a mistake creates regulated advice, such as product suitability in mortgages. And do not use it as a gatekeeper that makes it hard to reach a person; callers notice, and it costs you trust.

Troubleshooting

The agent talks over callers. Its answers are too long. Shorten each knowledge base entry and tell the agent to answer in one or two sentences, then ask a question.

Transfers fail. The transfer number is unreachable at that time or rings to voicemail. Set transfer hours and a fallback: take a message and book a callback.

Details land in the wrong fields. The agent's actions point at generic fields. Map each detail to a specific custom field and test with a real call.

Callers hang up at the greeting. Cut the greeting to the essentials and test it out loud. If it takes longer than about ten seconds, it is too long.

Frequently asked questions

Can an AI call center agent handle accents and background noise?

Modern voice agents cope with most accents and normal background noise. Very noisy lines and poor mobile signal still cause misheard details. Have the agent read back key details such as phone numbers and postcodes before saving them.

How do callers reach a person?

Through the transfer action you configure. The agent can transfer when the caller asks, when a topic is on your hand-off list, or when it cannot answer. Outside staffed hours, it books a callback instead. The AI phone answering guide covers out-of-hours handling.

Does the agent remember previous calls?

It works from the contact record, so notes and tags from earlier calls and conversations are available. Keep important context in fields and notes so the next call can use it. For a wider view on contact centre AI, read contact center artificial intelligence.
