For estate agencies and real estate brokerages

CRM and AI automation for real estate agencies

Portal enquiries land in the evening and at weekends, and the agent who replies first books the viewing. The best CRM for real estate answers every enquiry within a minute, books the viewing or valuation into the right diary and follows up until the buyer or seller is ready to act.

For agencies and brokerages with 10 to 250 staff
The situation

The enquiry goes to whoever answers first

Buyers and sellers enquire with several agents at once, mostly outside office hours. Negotiators are out on viewings, the portal email sits unread until the morning meeting, and the buyer books with someone else. A seller who asks for a valuation and waits two days for a call has usually invited another agent round by then.

Speed does not fix lead quality: some enquiries were never serious. But the serious ones need a booked appointment while they are still looking at the listing, and the rest need follow-up that keeps going for months. The best CRM for real estate answers every enquiry, sorts buyers from sellers, landlords and tenants, and keeps the applicant list warm without a negotiator remembering to do it.

Evening enquiries wait

Portal enquiries after six get a call back the next day, when the buyer has already booked elsewhere.

Valuations slip

A seller asks for a valuation and waits while the diary is juggled by phone.

Viewings are not followed up

Feedback depends on a negotiator remembering to ask after a full day on the road.

Applicants go cold

Buyers who did not offer hear nothing until another agent sells them a home.

Every enquiry answered.

Every viewing confirmed.

Every seller called back.

What happens to a lead

Every portal enquiry answered and booked within a minute

The platform replies on the channel the enquiry came in on, reads what the person wants and puts it in front of the right negotiator.

The price of doing nothing

What replying to portal enquiries late costs you

Put in your own figures. The result is your arithmetic, not a promise: not every enquiry was winnable.

Your enquiries
Check last month's first reply times.
In your currency.

Fixed in the calculation

  • How much more likely an enquiry reached within the hour is to qualify: about 7 times (source B-01, below)

Based on the figures you entered

Meetings lost each month5 to 9
First-year revenue at stake each month€6,250 to €10,710
Over a year€75,000 to €128,600

This is your own arithmetic on the figures you entered, not a result levelpartner.ai has produced for anyone.

How this is calculated

late enquiries = enquiries × share answered after an hour

low estimate: late enquiries × (your fast booking rate − your late booking rate)

high estimate: late enquiries × (your fast booking rate − your fast rate ÷ 7)

revenue = meetings lost × your close rate × first-year value

The low end uses only your own booking rates. The high end applies the finding that enquiries reached within an hour were nearly seven times as likely to qualify (B-01). That study is from 2011, covers many sectors and describes likelihood, not a promise. Speed does not turn a poor lead into a good one.

Sources for the defaults. B-01: Oldroyd, McElheran and Elkington, "The Short Life of Online Sales Leads", Harvard Business Review (figures as quoted in SmartCompany coverage), published March 2011 (source, checked 2026-10-16).

Worked example. 100 enquiries a month, half answered after an hour, booking rates of 20% (fast) and 10% (late), a 25% close rate and a first-year value of 5,000: about 5 to 9 meetings a month, worth roughly 6,250 to 10,710 of first-year revenue each month.

What it does

What a real estate CRM needs to do

Six parts of the platform matter most to estate agencies and brokerages. Each writes to the same contact record, so a buyer's enquiry, viewings, feedback and offer are one history.

AI agents for portal and website enquiries

An AI agent answers chat, SMS, WhatsApp, Facebook and Instagram at any hour from your own listings information, asks whether the person is buying, selling or letting, and books the appointment. Start in suggestion mode, where it drafts and a negotiator sends, then let it reply on its own.

AI agents and chat

An AI voice agent for missed calls

The voice agent answers calls nobody picks up, takes the details and books a viewing or valuation into the right calendar. You set its hours and what it may say, it can transfer to a person, and every call keeps a recording, transcript and summary.

AI phone and receptionist

Calendars for viewings and valuations

Booking pages per negotiator, office or appointment type, with round-robin assignment, travel buffers, text reminders and reschedule links, so fewer viewings are missed and fewer valuations slip.

Calendars and booking

Pipelines from enquiry to completion

Separate pipelines for sales, lettings and valuations, with stages from enquiry to completion, or showing to closing for US teams. A stale-deal rule flags any sale that has not moved for the days you set.

How pipelines work

Applicant follow-up that keeps going

Viewing feedback requests, new-listing updates for active buyers and a monthly market note for past applicants run as workflows, and stop the moment someone replies.

Workflows

Reviews after every completion

A review request goes out by text, email or WhatsApp when a sale completes. Replies to new reviews are drafted for approval, and negative ones are flagged so a manager responds first.

Reputation

A viewing follow-up rule, as it reads
  1. When a viewing is marked as done
  2. Then text the buyer asking for feedback
  3. If they are interested, alert the negotiator
  4. Else send similar listings next week
  5. Always log the feedback on the contact
Inside the diary

How viewings and valuations get booked without phone tag

The calendar does more of the selling than most agencies realise. These are the settings that matter.

Separate calendars for viewings and valuations

A valuation needs a senior negotiator and longer; a viewing needs whoever covers that area. Give each its own calendar with its own length, buffers and reminders. Buffers apply to every appointment on a calendar, so separate calendars are how you allow travel time on one and not the other.

Viewings shared across the team

A round-robin calendar offers the next free negotiator, so weekend enquiries are spread fairly rather than landing on whoever is on call.

Travel time built in

Add time before or after each viewing so back-to-back bookings across town stop being possible.

Reminders that cut no-shows

Confirmation by email and text, a reminder the day before and a link to reschedule rather than simply not turn up.

Calls booked into the right diary

The AI voice agent can choose between the viewing and valuation calendars from what the caller asks for.

Every channel, one system

Nine sources feed one CRM, and no lead is typed in by hand.

AI reads every enquiry

In any language, from any portal. Adding a portal needs no new build.

The right agent in seconds

Routing by budget, language and fair rotation, the moment the lead lands.

Nothing falls through

Returning clients keep their agent, and a lead with no owner triggers an alert.

Management sees everything

The sales manager is copied on every lead, and every lead sits in a pipeline with a value.

Built to change

Add or remove an agent or change the split in one setting, without rebuilding.

What it replaces

From portal inbox and phone tag to one system

A typical agency runs leads through portal emails, a property management system, texts from personal mobiles and a spreadsheet of applicants. Each holds part of the story.

The usual agency stack

  • Portal enquiries in a shared email inbox
  • Viewings booked by phone tag
  • Texts sent from personal mobiles
  • Applicant lists that are never mailed

One platform

  • Every enquiry on one contact record, with its source
  • Viewings and valuations booked from a link
  • Texts and WhatsApp logged on the record
  • Applicants kept warm by updates and alerts

Consolidating means one licence, one record per buyer and seller, and follow-up that keeps going when the office is closed. Your listings and conveyancing tools stay where they are.

What it costs

One licence, no tiers

Every feature is available on one licence, with no tiers to climb and no per-seat fees. Usage is billed as used, including WhatsApp, premium workflow steps, local listings sync and AI; implementation and custom work are priced separately and agreed before any work starts.

Where to start

What to set up first, in order

The order follows the money: the enquiries you lose tonight come first, the applicants you lose over months come last.

  1. Enquiry capture and first reply

Bring portal, website and social enquiries onto one record with the listing attached, and send the first reply with viewing times.

  2. Viewing and valuation calendars

One calendar per appointment type, negotiators assigned by area, buffers for travel and reminders by text.

  3. After-hours answering

The AI agent on chat and text, and the voice agent on missed calls, both booking into the calendars from step two.

  4. Applicant follow-up and reviews

Viewing feedback, new-listing updates for active buyers and a review request when a sale completes.

The same platform, written for other kinds of business: agencies, consultants and mortgage brokers.

FAQ

Questions buyers ask

Have you built a lead system for a real estate agency?

Yes. For a luxury agency on the Costa del Sol we built and run a lead engine that takes enquiries from nine channels, including the property portals, website forms, chat, WhatsApp and Meta ads. AI reads each enquiry, a fixed rule decides rentals, and routing by budget, language and fair rotation puts it on the right agent's desk in seconds, with the sales manager copied. The diagram above shows how it works; the client is not named.

What is the best CRM for a real estate brokerage?

One that answers portal enquiries at once, books viewings and valuations without phone tag and keeps applicants warm for months. The best CRM for real estate does all of that on one record per buyer and seller, so a negotiator who picks up a lead sees everything that came before.

How do you use AI for real estate leads?

Use it where speed decides the outcome: replying at any hour, asking whether someone is buying, selling or letting, and booking the appointment. Negotiation and pricing advice stay with people. The AI answers only from the information you give it.

Is there an AI voice agent for real estate?

Yes. The AI voice agent answers calls you miss, books the valuation or viewing into the right calendar and logs a recording, transcript and summary. You set the hours it answers and when it hands the caller to a person.

Can it capture enquiries from the property portals?

Yes, though how depends on what each portal offers, whether that is an email notification, a lead feed or a webhook. We check your portals on the first call and connect each one during onboarding, so every enquiry lands on a contact with its source.

Does it replace our property management or listings software?

No. Listings, compliance checks and conveyancing stay in the tools built for them. The platform runs the conversations around them: enquiries, viewings, valuations, follow-up and reviews.

Does it work for agents and realtors in any country?

Yes. You name the stages, so a deal can run from viewing to completion or from showing to closing. US teams register their texting numbers with the carriers before sending business texts, and onboarding covers it.

What does it cost for an agency?

The licence is €7,512 a year with unlimited users, so every negotiator gets a login at no extra cost, and 30 hours of onboarding are included. Work beyond that is €85 an hour, agreed first. Texts and calls are billed as used.
