Online scheduling and booking
Prospects book themselves into the right person's diary, get reminded on the channel they read, and turn up. If you came looking for a free online scheduling tool, here is the difference: booking is included in the licence with no usage charge, and every appointment lands on the same record as your CRM, inbox and pipeline.

Booking a meeting takes four emails and still gets missed
Growth has stalled, and part of the reason is that the meetings which should turn into work never happen. A prospect asks for a call, three emails go back and forth on times, the slot is agreed, and then nobody turns up because nobody reminded them.
A free online scheduling tool fixes the back-and-forth for one person. It does not decide which of six people should take the call, it does not chase the no-show, and it does not move the deal afterwards. Those only work when the booking, the reminders and the pipeline are one sequence, which is how they work here.
Times are agreed by email
Every meeting costs a thread of messages, and some prospects give up halfway.
The wrong person gets the meeting
Bookings land with whoever shared the link, not whoever should take the call.
People forget to turn up
Without a reminder, a booked slot is an empty hour on somebody's calendar.
Nobody knows what happened after
The meeting took place, but the deal never moved and the follow-up never went out.
Qualified people book themselves in and turn up
This is the appointment booking system at work, from the link a prospect clicks to the deal stage after the meeting.

What missed appointments cost you
Each missed meeting costs the hour you set aside and the deal you might have won in it. Put in your own figures.
Based on the figures you entered
This is your own arithmetic on the figures you entered, not a result levelpartner.ai has produced for anyone.
How this is calculated
missed = appointments × no-show share
monthly cost = missed × your close rate × first-year value
recovered = monthly cost × relative fall in no-shows (low and high)
The reminder effect comes from two systematic reviews of clinic appointments (B-05, B-06). Sales and advice appointments may behave differently. The cost line is your own arithmetic.
Sources for the defaults. B-05: Robotham et al., "Using digital notifications to improve attendance in clinic", BMJ Open 6(10):e012116, healthcare appointments, published 24 October 2016 (source, checked 2026-10-16); B-06: Hasvold and Wootton, "Use of telephone and SMS reminders to improve attendance at hospital appointments", Journal of Telemedicine and Telecare 17(7), healthcare appointments, published October 2011 (source, checked 2026-10-16).
Worked example. 60 appointments a month, 20% missed, 25% of attended meetings close at 5,000: 12 missed appointments and about 15,000 of first-year revenue missed each month, of which reminders would typically recover around 3,750 to 4,340.
Appointment scheduling software that does the work after the booking
The booking calendar sits on the same contact record as your CRM, messages and workflows, so a booking starts a sequence rather than filling a line in a diary.
Booking pages and widgets on your own site
Each calendar gets its own booking link and a widget you can embed on your website, in a funnel page or behind a button in an email. Set the meeting length, the slot interval, the questions you ask and the confirmation page people see afterwards.
Round robin that respects the diary
Spread bookings across a team either by availability, so the first free person takes the call, or by equal distribution, so the load evens out over time. You can let the invitee pick a named person, or reassign a booking by hand when a key account comes in.
Two-way sync and video links
Connect Google, Outlook or iCloud calendars. Busy time in any conflict calendar blocks the slot, and new bookings are written to the linked calendar your team already watches. A Zoom or Google Meet link is created for each booking, so nobody pastes links by hand.
Availability rules you control
Set working hours per person, date-specific exceptions for holidays, buffers before and after meetings, how much notice you need and how far ahead people can book. Recurring appointments cover the weekly or monthly client call without rebooking it each time.
Intake questions and payment at booking
Ask the questions that decide fit before the call, with every answer written to the contact record. For paid sessions, turn on payment at booking so the slot is only held once the deposit or fee has gone through on the platform.
Reminders, reschedules and no-shows
Confirmations and reminders go out by email, text or WhatsApp on the timings you choose. Staff can send an instant reschedule link from any appointment, and a meeting marked as a no-show starts a follow-up that offers a new time and tells the owner.
- Meeting discovery call, 30 minutes
- Who sales team, round robin by availability
- Ask company size, what you need
- Remind the day before by text, the hour before by email
- After move the deal, send the notes
Which calendar for which meeting
Choosing the right calendar type up front saves rebuilding it later. Each of these is a different booking rule, not a different tool.
Personal
One person's booking link for the meetings only they take: partner calls, advice sessions, a founder's office hours.
Round robin
One link for a team. Bookings go to whoever is free, or are shared out evenly, so no inbound call waits for one diary.
Collective
For meetings that need two or more people in the room. Only times when everyone is free are offered.
Class
One host and a set number of seats per slot, for workshops, webinars and group onboarding. Each booking takes a seat.
Services
A menu of bookable services, each with its own length and price, for firms that sell time: consultations, reviews and paid sessions.
Before and after online booking
Emails and a shared diary
- Times agreed over four or five emails
- Meetings go to whoever shared the link
- Reminders sent when someone remembers
- Missed meetings are simply lost
Booking that runs itself
- Prospects pick a free slot in one click
- Round robin sends each booking to the right person
- Every booking reminded on a fixed schedule
- No-shows get a new time offered the same day
The meeting is where the sale happens. Everything around it should run without anyone thinking about it.
A booked meeting nobody attends is just an empty hour.
Booking connects to every step around the meeting
A booking is only useful when it moves the deal and starts the follow-up. These features do that.
Built for four kinds of business, equally
The same booking system, with meetings in each industry's own terms.
Agencies
Agencies let prospects book a discovery call from the proposal email and route each one to the right account lead.
Consultants
Consultants publish paid and free session types, with intake questions answered before the call even starts.
Mortgage brokers
Brokers let clients book an advice call online and remind them which documents to bring to the meeting.
Real estate
Agents let buyers book viewings and sellers book valuations, with reminders that cut down wasted trips out.
One licence, no tiers
Every feature is available on one licence, with no tiers to climb and no per-seat fees. Usage is billed as used, including WhatsApp, premium workflow steps, local listings sync and AI; implementation and custom work are priced separately and agreed before any work starts.

Questions buyers ask
Is this a free online scheduling tool?
Appointment booking is included in the platform licence with no usage charge and no per-seat fee. It is not a separate free tool; it is part of the same platform as your CRM, inbox and workflows, which is what lets reminders, routing and follow-up run on their own.
Does it sync with Google Calendar and Outlook?
Yes. Google, Outlook and iCloud calendars connect per person. Busy time in a connected calendar blocks a slot, and new bookings are written to the calendar your team already uses, with a Zoom or Google Meet link added when you choose one.
Can bookings be shared across a team?
Yes. A round robin calendar shares bookings by availability or evenly over time, and you can let the invitee choose a person. A collective calendar books meetings that need several people at once, and only offers times when all of them are free.
Can clients pay when they book?
Yes. Turn on payment at booking for paid consultations or deposits, and the fee is taken through the platform's payments before the slot is confirmed. The payment sits on the same contact record as the booking.
Do reminders cost extra?
Booking itself has no usage charge. Reminder texts are billed as used, from €0.010 per SMS segment, WhatsApp from €0.0048 per message and reminder emails at €0.0009 each, with no minimum.
What happens when someone does not turn up?
Mark the appointment as a no-show and a follow-up starts: a message offers a new time, the owner is told, and the deal shows what happened. Staff can also send an instant reschedule link from the appointment itself.
Can we move from the scheduling tool we use today?
Yes. Most firms recreate their meeting types in an afternoon during onboarding, connect their calendars and swap the old links on the website and in email signatures. Existing future bookings stay where they are until they have taken place.
When is this more than we need?
If one person shares a link with a handful of contacts and nothing needs to happen after the meeting, a standalone scheduling app is enough. The platform earns its place when bookings are shared across a team, reminders matter and every meeting should move a deal.
