Payments and invoicing

Invoices and online payments

An invoice builder, e-signature and online payments in one flow, so the gap between "yes" and "paid" shrinks from days to minutes. Quote, sign, text a payment link and see the payment land on the contact in your CRM, without four separate tools.

The problem

Every day a payment is not collected is a day it might not be

The contract is signed on Friday evening. Nobody is at a desk, so the invoice goes out on Monday morning and the deal has cooled. A buyer asks for deposit details, you reply a few minutes later, and they have already paid someone else. A retainer card is declined on renewal and nobody notices for four days.

A prospect needs the engagement letter signed before they can pay. You email a PDF. They print it, sign it, scan it and forget to send it back. You do not have a sales problem. You have a payments friction problem, and it sits in the gaps between the tools you use to quote, sign, charge and reconcile.

Invoices go out late

Billing waits for someone to be at a desk, so cash arrives days after the work is agreed.

Contracts stall on paper

Print, sign, scan and send back is four chances for the client to forget.

Failed cards go unnoticed

A declined renewal is found at month end, not the morning it happened.

Payments are matched by hand

Someone ticks off bank lines against invoices in a spreadsheet every week.

What happens to a lead

From invoice sent to reconciled, without anyone chasing

Every invoice moves through the same stages, and the platform does the chasing and the record-keeping at each one.

Pipeline hygiene and reporting

  1. Invoice sent

A branded invoice with a payment link goes out by email and SMS against the agreed amount.

The price of doing nothing

What chasing payments by hand costs

Count the hours your team spends sending invoices, chasing late payers and matching payments to invoices. Put in your own figures.

Your team
Salary plus overheads, in your currency.
Your estimate.
Your estimate.

Based on the figures you entered

Hours a week spent chasing payments18
Cost a year€32,760
Hours a week returned7 to 13
Value of those hours a year€13,100 to €22,930

This is your own arithmetic on the figures you entered, not a result levelpartner.ai has produced for anyone.

How this is calculated

weekly hours = people × hours each

annual cost = weekly hours × loaded hourly cost × 52

value returned = annual cost × the share you estimate could be automated

Every input is yours. The automatable share is an estimate, which is why the result is a range.

Worked example. Two people spending five hours a week each sending invoices, chasing late payers and matching payments at a loaded 35 an hour: 10 hours and about 18,200 a year. If 40 to 70 in 100 of those hours can be automated, that is 4 to 7 hours a week back.

What it does

Everything you need to quote, contract, charge and reconcile

Invoicing software, an e-signature tool, a payment processor and your CRM, collapsed into one platform. Every signed contract can trigger an invoice, every invoice carries a payment link, and every payment updates the pipeline.

Invoice builder for one-off and recurring invoices

Branded invoices sent by email or SMS and paid online in one click. Overdue accounts get automatic reminders. Invoices are multi-currency, multi-language and VAT-aware, and you can track each one from sent to viewed to paid in real time.

Estimates and quotes go out as branded online documents your prospect can read, accept and sign on a phone. An accepted quote converts to an invoice automatically, so there is no double entry.

Invoice workflow in the help centre

Payment links and SMS payment requests

One-off payment links for deposits, deliverables, top-ups, tips, donations or anything else. Send them by SMS, WhatsApp or email, or embed them on a landing page.

A customer taps the link in a text, sees a mobile checkout pre-filled with their details, and pays with Apple Pay or Google Pay in one tap.

How text-to-pay works

Subscriptions and recurring billing

Weekly, monthly, quarterly or annual billing with free trials, setup fees and pro-rated upgrades. Failed payment recovery runs retries on a schedule you set and a dunning sequence by email and SMS, and the account owner is alerted.

Documents and contracts with e-signature

Send contracts for signing with multiple signers, custom fields and merge tags. Every document carries a full audit trail with timestamps and IP addresses, templates are reused across deals, and the signed PDF is stored on the contact record.

Payment processors, tax and in-person payments

Connect Stripe, PayPal, Authorize.net, NMI, Razorpay, Square or several regional providers, and offer more than one at checkout. Payments go to your own merchant account. Charge in many currencies, show amounts in the customer's local currency, and calculate VAT, GST and sales tax by jurisdiction.

Mobile point of sale lets you charge a customer in person from your phone with no card reader, including tap to pay on iPhone.

Reporting, customer portal and affiliate tracking

One dashboard shows transaction history, MRR, churn, failed payment rates, average days to pay, and revenue by product and by location, with an export for your accountant on demand. Full or partial refunds are issued from the same screen.

The customer portal lets clients update their own card, download their own invoices and manage their own subscription. Every transaction can tag the referring affiliate, so commission is tracked in the same system.

The contract-to-payment workflow
  1. 1 Contract countersigned, audit trail timestamped, PDF stored
  2. 2 A workflow fires
  3. 3 Invoice generated for the agreed amount with your logo and tax details
  4. 4 Payment link sent by SMS and email straight away
  5. 5 Customer pays with Apple Pay
  6. 6 Deal moved to won, welcome sent, course access granted, accountant's sheet updated by webhook
Setting it up

What onboarding covers, in order

Payments are part of the 30 hours of onboarding. This is the order we work in, because each step depends on the one before it.

  1. Connect your provider

Your own Stripe, PayPal, Authorize.net, NMI, Square or Razorpay account is connected by someone with admin rights on it. Stripe is the one to start with if you want wallets, bank debit and tap to pay.

  2. Products, taxes and templates

Your services become products with prices, tax is set as inclusive or exclusive, and the invoice, estimate and contract templates carry your logo, terms and business details.

  3. Late fees and reminders

Defaults for due dates, grace periods and late fees are set once. Reminder workflows are built for overdue invoices, including recurring ones, which do not chase themselves by default.

  4. Accounting sync and the weekly check

Sent and paid invoices sync one way to QuickBooks, Xero or Wave. Then a weekly routine: open the transactions list, clear failed payments and look at what is overdue.

Triggered payment workflows

Every payment event can start the next step

Payments sit on the same record as your workflows, so each event moves the work on without anyone touching it.

Contract signed

A payment link goes out by SMS and email.

Quote accepted

It converts to an invoice, sends itself and tags the contact.

Invoice paid

A confirmation goes out, course access is granted and the onboarding sequence starts.

Subscription created

A welcome SMS, a calendar invite and a notification to your team.

Payment failed

A dunning SMS, a retry attempt and an alert to the account owner.

Refund issued

A refund email goes out and the contact is tagged, if you want it to.

One failed renewal, as it runs
  1. When the monthly retainer card is declined
  2. Then a dunning SMS with a link to update the card
  3. And a retry attempt is scheduled
  4. And the account owner gets an alert
  5. If paid a confirmation goes to the client
Before and after

Four tools compared with one flow

Invoicing, signing and payments apart

  • Invoice written after the call, sent on Monday
  • Contract emailed as a PDF to print and scan
  • Declined cards found at month end
  • Payments matched to invoices in a spreadsheet

One flow on the platform

  • Quote converts to an invoice the moment it is accepted
  • Contract signed on a phone, stored on the contact
  • Failed cards retried, client and owner told the same day
  • Every payment matched to its invoice and contact

Your team stops chasing money, your clients stop waiting on PDFs, and revenue stops leaking through the gaps between tools.

A signed contract should pay you in minutes, not weeks.

Worth knowing before you start

What depends on which provider

Most of the payments features work with any connected provider. A few do not, and it is better to know now than at the first invoice.

Wallets and buy now, pay later

Apple Pay, Google Pay and buy now, pay later options run through Stripe. Buy now, pay later is for one-off payments only, never a subscription.

Bank debit

Stripe bank debit (ACH) is offered on invoices and recurring invoices, which suits large retainers where card fees add up.

In person

Tap to pay works from the mobile app with Stripe or Square. Card readers work at point of sale only.

Coupons

Coupons work on payment links, order forms, calendars and the store. They do not apply to invoices or estimates, so discounts there are a line item.

Refunds

Full and partial refunds are issued from the transactions list with an internal note. Past charges on a subscription are refunded one at a time.

FAQ

Questions buyers ask

Which payment providers does the platform support?

Stripe, PayPal, Authorize.net, NMI, Razorpay, Square and several regional providers. You keep your existing merchant account, payments go straight to it, and the platform never holds the funds. Processing fees are set by your provider.

Can I send invoices by SMS, and turn quotes into invoices?

Yes. Invoices and payment links go by SMS, email, WhatsApp or any channel you have connected, and mobile checkout supports Apple Pay and Google Pay. A branded estimate the client accepts converts into an invoice and sends automatically.

Does the invoice builder handle recurring billing and failed payments?

Yes. Weekly, monthly, quarterly or annual subscriptions, with free trials and setup fees. Failed payments are retried on a schedule you configure, a dunning sequence goes out by SMS and email, the owner is alerted, and the client can update their card in the portal without contacting you.

Does the e-signature feature have legal standing?

Every document is timestamped, IP-logged and signed inside a full audit trail, and the signed PDF is stored on the contact record. Whether an electronic signature is enough for a particular agreement depends on the document and the jurisdiction, so check regulated agreements with your adviser.

Do you handle VAT and tax, and is it PCI-compliant?

VAT, GST and sales tax are calculated by jurisdiction with compliant invoice line items. Card data is tokenised by your connected payment provider; the platform never stores raw card numbers.

Will customers see your branding or mine?

Yours. Every invoice, quote, contract, payment page and receipt carries your logo, colours and business details.

How do I get started?

Book a strategy call. We look at your current quote-to-cash flow, find where the friction costs you most and show you what would change. Your payment provider is connected and your quote, contract, invoice and receipt templates are set up with you during onboarding.

Next step

Find out where your cash is waiting

Bring your last overdue invoice. We will trace it from quote to payment on the call and show you which steps the platform would take over.

We use these details to reply to you, usually within one working day, and for nothing else. See the privacy policy.

Thank you. Your request is in.

Someone will reply by email within one working day with a time for the call.

Stop chasing payments. Start collecting them.

Every recurring client should renew without a declined-card scramble, and every quote should convert before the prospect forgets why they wanted it.
