A search for Nuance conversational AI usually starts with the phone. The name is associated with speech recognition and voice self-service, so the buyer behind the search tends to be asking whether a machine can answer calls well enough to put in front of customers. This article answers that question for an established firm of 10 to 250 people, without reviewing that vendor's products: what voice AI is good for on a business phone line, and how to put an AI voice agent on your own number inside the platform where your contacts and calendars already sit.
Why the phone line is where you lose revenue
Calls are the enquiries with the highest intent and the worst coverage. A prospect who rings is usually ready to talk now. If the call goes to voicemail at lunchtime, on a Saturday or while your team is in meetings, most callers do not leave a message. They ring the next firm on the list.
Speech technology used to be the hard part. Older phone systems could only recognise a handful of words, which is why so many callers learned to shout "agent" at a menu. Modern voice agents understand ordinary speech and reply in a natural voice, so the hard part has moved. It is now deciding what the agent should do with the call and making sure the result lands in your CRM.
Before you start
- A phone number in your account, either a new one or your existing number ported in.
- A calendar with live availability for the meeting type callers usually want.
- A short call script from your best person on the phones: how they open, what they ask, how they close.
- A clear list of calls the AI must transfer straight away, such as existing clients with an urgent issue.
- A person or team to receive transfers and missed-call summaries.
How to set it up
- Go to AI Agents > Voice AI and open Agent List.
- Click + Create Agent.
- Select Create Custom Agent, then click Continue.
- Enter an Agent Name and pick a Voice like your receptionist's.
- Select a Model and Language, and set the Timezone.
- Write the prompt from your best phone script, trimmed hard.
- Configure the Welcome Message for inbound calls and click Save.
- Open Knowledge Base and select your services and hours base.
- Open Actions, click + New Action and select Appointment Booking.
- Name it, define its trigger, choose your calendar and save it.
- Repeat with Call Transfer for the urgent call list.
- Open the Deploy tab and select your phone number.
- Under Call Routing, choose Use as Backup for missed calls.
- Under Working Hours, start with a Custom Schedule for after hours.
- Save the deployment settings.
What voice AI is for in a firm your size
Treat the voice agent as cover, not as a replacement for your people. Its first job is the calls nobody would have answered: after hours, overflow when every line is busy, and lunch. Its second job is the routine part of every call: taking the name, the reason and the contact details, so your team starts the conversation already informed.
Each call produces a recording, a transcript and a summary on the contact record. That changes what your sales lead sees on Monday morning. Instead of a voicemail list, there is a set of contacts with a reason for calling and, often, a meeting already in the diary. For the wider design of an answering agent, see AI receptionist.
Say the brokerage receives 400 inbound calls a month. Around 60 arrive outside office hours or while both lines are busy, and only a third of those callers leave a message. A voice agent covering those 60 calls would ask for the reason, book a callback with an adviser and text the caller a confirmation. If half of them became booked appointments, that would be 30 extra conversations a month from calls that were already ringing.
What it replaces and what it does not
The voice agent replaces voicemail, an answering service that takes messages without context, and the phone menu that asks callers to press numbers. It does not replace the adviser, the consultant or the agent who closes the deal. The handover point should be explicit in the instructions: once the caller wants advice, the voice agent books time with a person.
Running time is modest. Plan on an hour a week for the first month to listen to recordings and refine the instructions, then about twenty minutes a week to review transfers and flagged calls.
Most firms write the voice agent's instructions as if it were a chat agent. Spoken answers must be much shorter. A paragraph that reads well on screen takes forty seconds to say aloud, and callers interrupt. Keep each spoken reply to two short sentences and one question.
When not to use it
Do not put a voice agent on a line where most callers are distressed or need judgement immediately, such as a support line for an outage. Do not use it as the only route to a person; always keep a transfer. And if your callers mainly speak a language your instructions do not cover, test that language carefully before going live.
Troubleshooting
Callers hang up during the greeting. The greeting is too long. Cut it to your firm's name and one question.
The agent mishears names and email addresses. Ask it to read details back for confirmation, and ask for a mobile number first, since numbers are recognised more reliably than spelt email addresses.
Bookings land in the wrong calendar. The voice agent is linked to a shared calendar without the right team members. Link it to the calendar for the specific meeting type.
Transfers ring out. Transfer to a group number or a hunt group, not a single mobile, and send a text summary when a transfer is missed.
Frequently asked questions
Does Nuance conversational AI work differently from an AI voice agent on the platform?
Specialist speech vendors usually sell to large organisations that integrate voice into their own phone systems. A voice agent on the platform sits on your existing business number and writes straight into your CRM. The difference is mainly in who it is built for and how much integration work you take on.
Can callers tell they are speaking to AI?
Many can, and you should tell them in the greeting. Callers accept it when the agent is quick, polite and books them in. They object when it pretends to be a person and then fails.
Can the voice agent make outbound calls too?
Yes, for tasks such as calling back a web lead within minutes. Keep outbound use to people who asked to be contacted. For that set-up, read AI follow up, and for a comparison of phone options see AI phone receptionist.
