Easy invoicing: how it works and how to set it up

Easy invoicing in a growing firm means anyone who agrees work can bill it correctly, retainers bill themselves, and finance stops being the bottleneck. This article covers how to set up invoicing for small business teams on the levelpartner.ai platform so it stays easy as more people use it: saved products, sensible defaults, permissions and recurring invoices. It is about making invoicing a team activity that runs the same way every time, not about the design of a single invoice.

Why invoicing stops being easy as you grow

Invoicing is easy with one person. They know every client, every price and every exception. Add a sales team, a few account managers and a finance lead, and the knowledge spreads thin. Prices drift between salespeople. Retainers are forgotten in a busy month. Finance becomes a queue that every invoice has to pass through.

Easy invoicing for a small business of 30 or 150 people comes from removing decisions. The price, the tax, the terms and the schedule are decided once and saved. The person sending the invoice only chooses the client and the quantity.

Before you start

  • Your business profile complete in Settings with logo, address and tax numbers.
  • A payment processor connected in Payments.
  • A list of the services you sell, with standard prices and the tax rate for each.
  • A list of current retainers and subscriptions, with amount, frequency and next billing date.
  • A decision on who may send invoices and up to what value.

Online invoicing for small business starts with products

Products are the single biggest time saver. A product carries the description, price and tax rate, so a salesperson adding "Monthly SEO retainer" gets the same wording and price as everyone else. Spend an hour saving your real services, and write each description the way the client will read it on the invoice.

Keep the list short. A firm with three hundred products has the same problem as a firm with none: people cannot find the right one and type their own.

How to set up invoicing for the team

  1. Go to Payments, then Products, and click + Create Product for each standard service.
  2. Enter the Title, Description and Pricing for the service, then click Save.
  3. Go to Payments, then Invoices & Estimates, and click Settings.
  4. Open Title, Terms and Layout, write the terms every invoice carries and click Save.
  5. Open Payment Settings, set the days until an invoice is due and click Save.
  6. In Settings, open My Staff and click the edit icon next to each invoicing user.
  7. Expand Roles & Permissions, switch on the Payments permissions needed, then click Save.
  8. Write a one-page team rule for who sends which invoices and when finance reviews them.
  9. Back in Invoices & Estimates, click New and select New Recurring Invoice for each retainer.
  10. Choose the customer and product, set How often? and pick the Start Date.
  11. For a client who agreed to card charges, open the three-dot menu and choose Manage Auto Payment.
  12. Turn on the Enable autopayment toggle, select the card source and click Save.
  13. Send one test invoice of each type to an internal contact in Test mode.

Recurring invoices are where the money is

For agencies and consultants, retainers are the base of revenue. A missed retainer invoice is not a delay; it is often a month that never gets billed, because nobody wants to send two at once.

Recurring invoices remove the risk. The platform creates and sends the invoice on schedule. If the client has agreed to card on file, it can collect automatically, and you only hear about it when a payment fails. Review the list of recurring invoices once a month against your client list, so ended contracts stop billing and new ones start.

Illustration: a 55-person agency with 40 retainer clients

Suppose a finance assistant bills 40 retainers by hand on the first working day of each month, which takes most of a morning, and two or three slip through each quarter. With recurring invoices set for all 40 clients, the job would shrink to a ten-minute check of failed payments. A retainer could then only be missed if its schedule was set up wrongly. The numbers are illustrative.

What it replaces and the time it takes

Team invoicing replaces the email to finance asking for an invoice, the price list in someone's head and the monthly retainer run. Setup takes half a day for most firms. After that, a one-off invoice takes a couple of minutes and recurring ones take none, apart from the monthly review.

The mistake most people make

Giving everyone permission to send any invoice with no rule. Easy should not mean unchecked. Set a value limit in your team rule: account managers send up to the limit, anything above goes to finance for review first. Then use permissions in Settings so only the right people can send.

The other common mistake is building recurring invoices for clients without written consent to charge a stored card. Get consent in the contract or on the payment page, and keep a record of it.

When to keep invoicing central

If your invoices are rare, large and heavily negotiated, such as fixed-fee projects with staged milestones, keep invoicing with one person in finance. Spreading it across the team only helps when there are many routine invoices. For one-off small charges agreed in a call, the express invoice method is enough.

Troubleshooting

Salespeople still type their own line items. The product names do not match how they talk about the service. Rename products to the words the team uses.

A recurring invoice billed after the contract ended. Nobody reviewed the schedule. Add the monthly review to someone's calendar and end schedules when contracts end.

A stored card was declined. The card expired or was replaced. Send the client a link to update their card, then retry the payment.

Invoices go out with the wrong tax. The product has the wrong default rate. Correct it once on the product and every new invoice follows.

To automate reminders and pipeline updates around each invoice, see how to build an invoice workflow. If you are still choosing a tool, the invoicing software checklist sets out the tests. For clients who ignore email, send the pay link by text.

Frequently asked questions

What makes invoicing easy for a small business with a team?

Saved products, defaults set once, clear permissions and recurring invoices for anything that repeats. The person sending should only need to choose a client and a quantity.

Can recurring invoices charge clients automatically?

Yes, where the client has agreed to a stored payment method. Otherwise the recurring invoice is sent for them to pay by link.

How do we stop prices drifting between salespeople?

Use products with fixed prices and let salespeople change quantity, not price. If discounts are allowed, decide who can give them and how they are shown on the invoice.

Do clients need an account to pay?

No. They open the invoice link and pay on the hosted page. Nothing needs to be installed or registered.
