Automated lead generation is the capture side of selling: the pages, forms, chat and phone routes that turn a stranger's interest into a named contact in your CRM without anyone typing it in. This article answers how to build that capture layer so every visitor who shows intent becomes a record with a source, an owner and a next step. It does not cover what you say afterwards; it covers the machinery that makes sure nobody slips through before the conversation starts.
What you get once it is set up
Every route into the business ends in the same place. A landing page form, a chat on your website, a missed phone call, a social message and a booking from your calendar all create or update one contact in Contacts. Each record arrives tagged with where it came from and is dropped into the right pipeline stage.
For a 60-person firm that has been relying on referrals and a contact page, this is usually the first time leads become countable. You can see how many arrived this week and from which route, instead of guessing from the inbox.
Before you start
- One clear offer per page. A free consultation, a valuation, a guide or an audit.
- A decision on the minimum details you need: usually name, email, phone and one qualifying question.
- A pipeline with a new-lead stage and an owner for that stage.
- Consent wording for email and SMS that matches how you will actually contact people.
- Your website domain connected, or a decision to host the landing pages on the platform.
How to set it up
Landing pages, forms, chat and social messages each have their own place in the platform. The steps below cover the route most firms leave open longest: the phone call nobody picks up.
- Click Settings in the bottom-left corner of your account.
- Open Phone System, then Voice, then Voicemail & Missed Call Text Back, and select Missed Call Text Back.
- Tick Enable Missed Call Text Back and click Customize.
- Type the reply in the Enter message field: who you are, an apology for missing the call and a booking link.
- Insert a custom value for the first name only if most callers are already in your contacts.
- Choose a number in the test field to preview the text, then click Save.
- Set the Incoming call timeout slider so the phone rings long enough for a person to answer first.
Which capture routes matter most
Not every route deserves equal effort. For most established businesses, the order is: a strong offer page for paid and organic traffic, chat on high-intent pages such as pricing and services, and missed-call text-back. Social messages matter more for real estate and less for consultancies. Lead magnets such as guides and checklists produce volume but weaker intent, so route them into nurture rather than straight to a salesperson.
If you are trying to work out where your leads come from today, start with tracking your lead sources properly before you build new routes. Otherwise you will add capture points without knowing which ones earn their keep.
Say the agency gets around 60 valuation requests a month through a contact form on its home page. It adds a dedicated valuation page with three fields and chat on property listings. If chat captured even five after-hours enquiries a week that would otherwise leave the site, that would be roughly 20 extra conversations a month to qualify.
What it replaces and the weekly time
It replaces web forms that email a shared address, manual copying into a spreadsheet, and the separate tools many firms run for chat, landing pages and call handling. Running it takes about an hour a week once built: check that every route is producing contacts, read through chat transcripts the AI agent escalated, and pause any page that is attracting the wrong people.
The mistake most people make
They chase volume. A form with a vague offer like "get in touch" produces a trickle of low-intent contacts, and adding more forms only multiplies the noise. The capture layer should make it easy for the right people and slightly harder for the wrong ones. One qualifying question, such as company size or budget range, costs you a few submissions and saves your sales team hours. For the next step in deciding who is worth a call, see the qualification process.
Sending all traffic to the home page. Visitors who clicked an ad about mortgage advice should land on a page about mortgage advice, with one form and nothing else to click.
When not to use it
If you can already handle every enquiry you receive and your problem is conversion, build follow up first. More leads into a slow response process just makes the leak bigger. Also skip lead magnets if your sales cycle is short and buyers arrive ready to talk; they slow people down.
Troubleshooting
Contacts are created twice. The same person used the form and the chat. Make sure duplicate matching on email and phone is turned on in Settings so records merge.
Source fields are blank. The hidden fields are not mapped or the campaign links have no parameters. Add parameters to every link you control and map the hidden fields to contact fields.
The chat widget does not appear. The code was added to one page template only. Add it to the site-wide header or footer.
Missed-call text-back never sends. The number is forwarding before the platform registers a miss. Check call routing and voicemail settings on the connected number.
Frequently asked questions
Is automated lead generation the same as buying lists?
No. Buying lists gives you contact details without intent or consent. Automated capture records people who chose to contact you, which is both more effective and safer under marketing rules in the US, the UK and most other markets.
Do I need a new website?
Not necessarily. You can keep your existing site, add the chat widget and embed platform forms. Landing pages for campaigns are usually easier to build and test on the platform.
How does this differ from automatic lead generation?
This article covers the inbound capture routes. Generating leads from your existing contacts and referrals covers the other half: referrals, reviews and reactivating people already in your database.
What should happen straight after a lead is captured?
An instant reply and a booking link. The detail is in following up fresh enquiries.
