Who each product is for

Four products, four different buyers

Most CRM comparison tables list features every product has. That tells you nothing. What separates these four is how they charge, what they leave out of the base price and how much set-up they expect from you before anything works.

If you run a company with 10 to 250 staff and growth has stalled, the question is rarely which CRM has the longest feature list. It is which one your team will actually use, what it costs once every seat and add-on is counted, and how long it takes before follow-up runs without someone pushing it.

HubSpot

Built for teams that want marketing, sales and service in one product and are happy to pay per seat as they grow. Strongest when marketing drives the pipeline.

Salesforce

Built for sales organisations that need deep customisation, territories, forecasting and a large app ecosystem, and have someone to own the configuration.

Pipedrive

Built for small sales teams that want a clear pipeline at a low entry price, with monthly billing and add-ons bought only when needed.

levelpartner.ai

Built for established companies with 10 to 250 staff that want CRM, messaging, booking and AI on one licence, with no per-seat fee and onboarding included.

The price of doing nothing

Price the switch before you compare licences

Whichever CRM you choose, moving has a one-off cost of its own: training, data clean-up and a month or two of paying for both systems. Put your own figures in.

Your migration
Our prices are set in euros. GBP, USD and SEK use the ECB reference rate of 16 October 2026.

Fixed in the calculation

  • Typical full build, low: 30 hours
  • Typical full build, high: 60 hours
  • Onboarding hours included in the licence: 30 hours
  • Implementation beyond the included hours: €85 an hour

Based on the figures you entered

External implementation beyond the included hours€0 to €2,550
Internal time: training and data clean-up€2,800
Paying for both systems during the switch€800
One-off migration cost, excluding the annual licence€3,600 to €6,150

This is your own arithmetic on the figures you entered, not a result levelpartner.ai has produced for anyone.

How this is calculated

external = (build hours − 30 included) × €85

internal = (users × training hours + clean-up hours) × your internal rate

overlap = months of both systems × current monthly cost

total = external + internal + overlap

A typical full build lands at 30 to 60 hours, and any hour beyond the 30 included is scoped and approved before it is billed. Internal hours are your own estimate.

Worked example. 15 users with four hours of training each, 20 hours of data clean-up at 35 an hour and one month of overlap at 800: external 0 to 2,550, internal 2,800, overlap 800, so 3,600 to 6,150 one-off, separate from the annual licence.

HubSpot

HubSpot: strengths and limits

One product for marketing, sales and service, priced per seat with usage drawn from credits.

Where HubSpot is stronger

  • A genuine free plan for a very small team, so you can start before you spend anything.
  • Marketing, sales and service in one platform, with social, content and AI search tools at Professional.
  • Named AI agents from prospecting to customer service, with Breeze Assistant on the free plan.
  • Starter is cheap while the promotional price lasts, and does not require paid onboarding.

Where it costs you more

  • The seat price climbs steeply from Starter to Professional, which is where advanced automation and custom reports start.
  • Professional and Enterprise require paid onboarding.
  • Workflow actions and bulk email draw on credits, so the seat price is not the whole bill.
  • SMS is an add-on limited to US numbers, which matters if you sell outside the US.
Salesforce

Salesforce: strengths and limits

The deepest configuration of the four, sold mostly on annual contracts.

Where Salesforce is stronger

  • Deep customisation: unlimited custom apps, Lightning App Builder and developer sandboxes from Pro Suite, a full sandbox on Advanced and Max.
  • Enterprise sales tools: territories, opportunity splits, consumption forecasting and pipeline inspection from Core.
  • A large app ecosystem through AppExchange and AgentExchange.
  • Starter Suite has no user maximum and can be billed monthly, and Free Suite costs nothing.

Where it costs you more

  • Everything from Pro Suite up is billed annually, and Pro Suite needs a contract.
  • Automation through Flow Builder is missing from Starter and capped on Pro Suite.
  • AI is an add-on below Max, and marketing automation is a separate product with its own price.
  • The success plan is charged as a share of licence fees on top. See the table.
Pipedrive

Pipedrive: strengths and limits

A pipeline-first CRM with the lowest paid entry price of the three competitors.

Where Pipedrive is stronger

  • The lowest entry price for a paid, pipeline-first CRM, with pipelines, deal rotting and a product catalogue on every plan.
  • Monthly billing on every plan and no required onboarding fee.
  • An integration marketplace of hundreds of apps, open on every plan, so most tools you already use will connect.
  • WhatsApp integration and call logging on every plan, and live chat support around the clock.

Where it costs you more

  • Lite has no automations and no two-way email sync; automation counts are capped per company on every plan.
  • Email marketing is a paid add-on on every plan.
  • There is no free plan, only a trial.
  • Reporting is limited to default dashboards on the two lower plans.
levelpartner.ai

levelpartner.ai: strengths and limits

One licence for the whole platform: CRM, pipelines, inbox, booking, messaging, workflows and AI agents.

Where levelpartner.ai is stronger

  • One price whatever your headcount: unlimited users and contacts, no per-seat fee.
  • Email, SMS, WhatsApp, calls and AI agents run on the same contact record, with usage billed as used.
  • 30 hours of onboarding included in the licence, and most clients go live in two to four weeks.
  • Built for established companies with 10 to 250 staff, so the defaults fit how those teams sell.

Where another choice may fit better

  • There is no free tier and no monthly plan. If you only need two or three users, a per-seat CRM will cost less. See the table.
  • If you need sales territories, opportunity splits and sandbox environments, Salesforce is the stronger fit.
  • If marketing runs your pipeline and you want every marketing tool from one vendor, look hard at HubSpot.
  • If you depend on a specific app integration, check it exists before you switch.
Beyond the seat price

Six things the headline price leaves out

The per-seat figure is where a CRM comparison starts, not where it ends. Ask each vendor about these six before you compare totals.

Onboarding

HubSpot requires paid onboarding on Professional and Enterprise. Pipedrive charges none. Salesforce prices its success plan as a share of licence fees. Get each figure in writing.

Usage credits

HubSpot workflow actions and bulk email draw on a monthly credit allowance. Salesforce includes Flex Credits for its AI from Core. Ask what happens when the allowance runs out.

Add-ons

Pipedrive sells email marketing as an add-on on every plan. Salesforce sells marketing automation as a separate product. List the add-ons you would need on day one.

AI

Salesforce AI is an add-on below Max. HubSpot names several agents on its pricing page. Check which edition each AI feature you want actually needs.

Contract terms

Salesforce bills Pro Suite and above annually, and HubSpot Enterprise is annual only. Pipedrive bills monthly on every plan. Know your exit date before you sign.

The tier jump

Advanced automation starts at HubSpot Professional, Flow Builder at Salesforce Pro Suite, automations at Pipedrive Growth. Price the plan where your needs start.

Which to choose if

Which CRM to choose, by situation

Choose HubSpot if

Marketing is your main source of pipeline, you want one vendor for marketing, sales and service, and you accept paying per seat and buying onboarding at Professional.

Choose Salesforce if

You have a sales organisation with territories, forecasting and approval chains, someone who owns the configuration, and you are comfortable with annual contracts.

Choose Pipedrive if

You have a small sales team, want a clear pipeline this week, prefer monthly billing, and will buy email marketing and other tools as add-ons.

Choose levelpartner.ai if

You have 10 to 250 staff, more than a handful of people in the system, and you want follow-up, booking, messaging and AI on one licence with onboarding included. See the all-in-one platform.

Before you sign

How to test a CRM on your own work

A demo shows a product at its best. A trial on live work shows what your team will live with. Run these four checks on every product on your shortlist.

  1. Send it real enquiries

Connect your website form and route live enquiries in, not demo data. Time the first reply on a weekday evening and at the weekend.

  2. Automate one real follow-up

Build the follow-up you run most often, on the plan you would buy. If it needs a higher tier, you have found the real price.

  3. Put the whole team in

Give access to everyone who would use it, including the office staff. Every login on a per-seat CRM belongs in the quote.

  4. Pull the report you trust

Ask for the weekly report your managers use today. If it needs custom reporting, check which plan includes it.

What levelpartner.ai costs

What levelpartner.ai costs

The licence is €7,512 a year. Every feature is available on it, with unlimited users and unlimited contacts, with 30 hours of onboarding and a 30-day check-in after launch included. Implementation beyond the included hours is €85 an hour, scoped and approved before any hours are billed. Usage, such as email, SMS, WhatsApp and call minutes, is billed as used, with no minimum. See full pricing and usage rates.

Migration

How to move from HubSpot, Salesforce or Pipedrive

A CRM migration fails on data and habits, not on the import button. Records export from all three. The effort sits in what is built around them, and that differs by product.

Leaving HubSpot means listing every workflow and sequence, and deciding what happens to marketing email history and lists. Teams on Professional often find automations nobody remembers building.

Leaving Salesforce takes longest when the org is customised. Custom objects, flows, approval processes and the reports built on them all need mapping before anything moves. Check your contract end date first.

Leaving Pipedrive is usually the lightest move. Pipelines and deals map cleanly; the work is replacing automations and the add-ons stacked on top, such as campaigns and lead capture.

Whichever you leave, work in this order: export and clean (merge duplicates, drop dead records), map fields and stages (fewer is better), rebuild the automations that earn their place, then run both systems briefly and switch off. A short overlap protects live deals; a long one doubles the bill. The calculator above prices that overlap.

On levelpartner.ai this happens inside the 30 included onboarding hours for most companies; a typical full build lands at 30 to 60 hours, and anything beyond 30 is quoted before it starts. The migration checklist has the step-by-step version.

FAQ

Questions buyers ask

How much does a CRM cost per month?

It depends on the pricing model more than the product. HubSpot, Salesforce and Pipedrive charge per seat or per user, so the bill grows with your team, and each adds onboarding, credits or add-ons on top at some tiers. levelpartner.ai charges one licence of €7,512 a year for unlimited users, with usage billed as used. The table above has every vendor's current per-seat price and the date it was checked.

Is HubSpot or Salesforce better for a company with 50 staff?

It depends who uses it. If marketing drives your pipeline, HubSpot keeps marketing, sales and service in one product. If you have a structured sales organisation with territories and forecasting, Salesforce is the deeper tool. In both cases price the plan where the automation you need starts, not the entry plan, and count every seat.

Which CRM is cheapest for a small team?

For two or three users, a per-seat CRM usually costs less than our flat licence. HubSpot and Salesforce both have free plans for two users, and Pipedrive has the lowest paid entry price of the three. The picture changes as headcount grows, because per-seat pricing scales with every person you add.

Why does this CRM comparison include levelpartner.ai?

Because it is our product, and a buyer comparing these three should know a flat-licence option exists. We have kept its column to published facts and said plainly where the others are better.

How long does it take to switch CRM?

Most levelpartner.ai clients go live in two to four weeks, using the 30 onboarding hours included in the licence. The time goes on cleaning data and rebuilding the automations you keep, not on the import itself. The CRM migration strategy guide covers the order of work.

What should I test in a CRM trial?

Your own work, on the plan you would buy. Route real enquiries in, build the one follow-up you run most often, give everyone who needs it a login and pull the report your managers use each week. If any of those needs a higher tier or an add-on, that is the price to compare. The four checks above set out the order.

Do these CRMs work the same in every country?

Mostly, with two things to check. HubSpot's SMS add-ons, as published in its standard catalog, send from US numbers only, so text follow-up outside the US needs another route. Pipedrive's page showed euro prices when we checked and its prices exclude VAT, so confirm your local price. levelpartner.ai serves companies across English-speaking markets, with SMS and WhatsApp on the same licence.

How current are these prices?

Every competitor figure was read on the vendor's own page on 16 October 2026 and is listed with its source. HubSpot's Starter price was a limited-time promotion on that date. Vendors change prices without notice, so check their page before you buy.
