Email auto responder: how it works and how to set it up

An email auto responder sends an immediate reply the moment an enquiry arrives, so the person who just asked for help knows they have been heard and what happens next. Set up properly, it closes the silent gap between a prospect pressing send and a person on your team replying. This article covers one specific job: the single instant reply to an inbound enquiry, including out-of-hours and holiday versions. If you want a timed series of emails after someone joins a list, that is a different tool, covered in our guide to the email autoresponder sequence.

What you get once it is set up

Every enquiry that comes in through a website form, a booking request or an email to your main enquiries address receives a reply within a minute. The reply confirms what was received, says who will respond and by when, and gives one useful action, such as booking a call straight away.

The enquiry is also logged as a contact, tagged with its source, and assigned to an owner. Your team starts the conversation from a record rather than from a forwarded email.

Before you start

You need a verified sending domain, the forms or inboxes you want to cover, and an agreed response time your team can actually meet. Decide who owns each type of enquiry, because the reply should name a real person or team. If you plan an out-of-hours version, agree your working hours across the time zones you serve first.

How to set it up

  1. Go to Sites, then Forms, and open your enquiry form.
  2. Select the Notifications tab.
  3. Turn on Auto Responder.
  4. Enter the Subject, Reply-to Email and Sender Name.
  5. Click Save.
  6. In Automation, create a workflow with the Form Submitted trigger.
  7. Set Form Is to the enquiry form and save the trigger.
  8. Add Assign to User with the people who share enquiries.
  9. Add an Internal Notification with the user type set to assigned user.
  10. Turn the Publish toggle on and click Save.
  11. Submit the form yourself and check the reply and the alert.

Writing the reply

Keep it under 80 words. The first sentence confirms what you received in the reader's own terms: "Thanks for asking about a remortgage review". The second says who will reply and by when. The third offers a faster route, usually a link to book a time.

Do not pretend to be a person if you are not. A reply signed "The team at" with a named owner introduced is honest and still warm. Never promise a response time your team misses, because the broken promise does more damage than no promise.

Illustration: a 70-person real estate firm handling weekend enquiries

Imagine the firm gets around 40 valuation requests between Friday evening and Monday morning. Without an auto responder, those prospects hear nothing until Monday afternoon, and some will have booked a competitor by then. With an out-of-hours reply offering a Monday valuation slot through a booking link, perhaps 10 of the 40 might book before anyone is back at a desk. These are assumed figures.

What it is for in a growing firm

Speed of first response decides more enquiries than most firms admit. When revenue is flat, the leads you already pay for are the cheapest growth available, and an unanswered weekend enquiry is money walking out of the door.

The auto responder replaces the shared inbox that someone checks when they remember. Weekly upkeep is about 15 minutes: check that every form still triggers the workflow and that replies are not landing in spam. Agencies, consultants, mortgage brokers and real estate firms all benefit, with the out-of-hours branch mattering most to brokers and estate agents, whose clients enquire in the evening.

The common mistake

Sending the same auto reply to every form. A careers enquiry, a complaint and a sales request each need a different reply. Use a separate branch or workflow for each.

When not to use it

Do not auto reply to existing clients mid-project who email their account manager directly; they expect a person, and an automated acknowledgement can feel cold. Also avoid it on complaint channels unless the reply is carefully written and names a real person who will call.

Troubleshooting

Two replies arrive for one enquiry. Both the form trigger and the inbox trigger fired. Add a condition that stops the workflow if the contact already received the reply in the last hour.

The reply lands in spam. Check the sending domain is verified and the reply is plain, with few links. Avoid words that read as promotional.

Out-of-hours replies go out during the day. The time condition uses the wrong time zone. Set your account's time zone in Settings and recheck the condition.

Nobody follows up after the reply. The auto responder is not the response. Make the internal notification go to a named owner and track response time in Reporting.

Frequently asked questions

Is an email auto responder the same as an out-of-office message?

No. An out-of-office message is personal and temporary. An auto responder is a business process that replies to every enquiry, logs the contact and assigns an owner, all year round.

Usually yes. A prospect who wants to talk now can book without waiting for your reply. If your sales process needs qualification first, link to a short form instead.

Can the platform answer the enquiry itself?

The platform's AI agents can hold a first conversation by chat or SMS and answer common questions. For email, most firms keep the auto reply short and let a person handle the substance. See how an email workflow is structured for combining both.

How quickly does the reply go out?

Within a minute or so of the form being submitted, depending on your workflow. If you add a wait step, the reply will be delayed by that amount.
