Email marketing on the same platform as your CRM

The enquiries you already paid for keep turning into business months later, because every contact gets the right email at the right time. Most email blast platforms send a message and stop; here the same platform that sends the email also sees the click, the reply, the booking and the deal.

  • Enquiry form sent
  • Call booked
  • Quote sent
  • Deal won
  • Stage changed
  • Quiet for a quarter
  • Renewal coming up
  • New blog post

The problem

Your list is full of people who were nearly ready

Turnover has stalled, yet you have thousands of contacts who once asked about your services. Most were not ready on day one. Nobody followed up, so they bought from whoever was still in touch when they were.

Email blast platforms that sit apart from your CRM send newsletters into the dark: the list is a copy, the sales team cannot see who is reading, and a reply lands in somebody's personal inbox. Here every click and reply is written to the contact, and a warm contact goes back to a person the same day.

Old enquiries are written off

Contacts who were not ready on day one never hear from you again.

Everyone gets the same email

Buyers, past clients and cold leads all receive one broadcast that fits none of them.

Email lives in a separate tool

Lists are exported and imported, and the sales team cannot see who is engaging.

Emails land in spam

Sending from a shared address with no authentication quietly hurts every campaign.

Not ready yet.

Is not the same as never.

What happens to a lead

Email nurture that hands warm contacts back to a person

This is email automation at work: segmented by what each person asked for, watched for engagement, and handed back to the owner at the right moment.

Long-term nurture and reactivation

  • Trigger

    Not ready yet

    Or gone quiet

  1. Placed on the right track

Buyers, owners, renters or clients each get content that fits what they asked about.

    Instant
  2. Newsletter or sequence sent

A useful email on a rhythm you set, written for the segment, not a sales message.

    Every 2 weeks
  3. Engagement watched

Opens, clicks and replies are recorded, so the system knows who is warming up.

    Ongoing
    • EngagedOpened, clicked or replied
      1. Warm contacts flagged

When someone engages again, the owner is told and the conversation restarts.

        Same day
      2. Call-back booked

        On the owner's calendar

      3. Done
    • Quiet for 90 daysNo engagement
      1. Dormant list reactivated

Contacts who have been silent for months get a direct, personal check-in.

        Quarterly
      2. Replies routed to the owner

        With the history attached

      3. End
  1. Enquiry received, not ready yet: added to the planning segment
  2. Welcome sequence started, three emails over two weekssent
  3. Fortnightly newsletter delivered, no clicks recorded
  4. Newsletter guide clickednew
  5. Owner alerted, personal email sent from the inbox
  6. Reply received, sequence stopped, call bookedbooked

The price of doing nothing

What keeping in touch by hand costs

This prices the hours your team spends chasing and re-keying today. It does not predict what email will earn you. Put in your own figures.

Your team
Salary plus overheads, in your currency.
Your estimate.
Your estimate.

Based on the figures you entered

Hours a week spent on follow-up18
Cost a year€32,760
Hours a week returned7 to 13
Value of those hours a year€13,100 to €22,930

This is your own arithmetic on the figures you entered, not a result levelpartner.ai has produced for anyone.

How this is calculated

weekly hours = people × hours each

annual cost = weekly hours × loaded hourly cost × 52

value returned = annual cost × the share you estimate could be automated

Every input is yours. The automatable share is an estimate, which is why the result is a range.

Worked example. Three people spending six hours a week each at a loaded 35 an hour: 18 hours and about 32,760 a year. If 40 to 70 in 100 of those hours can be automated, that is 7 to 13 hours a week back, worth roughly 13,100 to 22,930 a year.

What it does

Email marketing software on the same record as your CRM

Campaigns, sequences and newsletters are sent from the platform that holds your contacts, deals and conversations, so every email can use what you know about the person receiving it.

A builder for branded and plain emails

Build emails from saved blocks and templates in your own colours, with merge fields from the contact record, then preview on desktop and mobile and send yourself a test. Switch to a plain-text style for messages that should read like a note from a person. AI drafts the first version from a short brief; you edit and approve it.

Segments that keep themselves current

Build an audience from tags, pipeline stage, source, location or past behaviour. A segment updates as contacts enter and leave it, so next month's newsletter goes to the right people without anyone rebuilding the list.

Email automation and sequences

Welcome sequences, follow-ups after a quote, check-ins before a renewal. Email automation starts from a form, a booking, a stage change or a quiet period, and a reply or a booking stops it, so nobody receives a nudge after they have already said yes.

Testing and timing

Test two or more subject lines or versions on part of the list, and the winner goes to the rest. Send now, schedule for a set time, release a large send in batches, or let new posts from your blog go out on an RSS schedule. Send-time optimisation picks each contact's best hour once you have enough sending history.

Engagement that reaches the sales team

Clicks and replies are written to the contact and can move a deal or alert its owner the same day. Treat opens as a hint rather than a signal: some mail apps open every email automatically, so a click or a reply is what tells you someone is interested.

Your domain and a clean list

Send from your own authenticated domain, with separate subdomains for campaigns, automations and one-to-one email if you want them. Bounces and unsubscribes are applied automatically, which keeps the list clean and your sending reputation intact.

A sequence, as it reads
  1. When an enquiry is tagged "not ready"
  2. Then send the welcome email
  3. Every second Tuesday, send the newsletter
  4. If they click a guide, alert the owner
  5. Stop when they reply or book
Deliverability

Getting to the inbox, before the first send

Most email problems are set before anyone writes a word. These are the things we put in place with you during onboarding.

Send from your own domain

A dedicated sending domain, usually a subdomain such as mail.yourfirm.com, keeps campaign traffic apart from the mailboxes your team uses every day. The platform generates the DNS records; you add them once.

Separate the streams

Campaigns, automated emails and one-to-one messages can each send from their own subdomain, so a busy newsletter never drags down a proposal email.

Warm up a new domain

Start with your most engaged contacts and build volume over a few weeks. A new domain that sends to the whole list on day one looks like spam to mailbox providers.

Keep the list clean

Bounces and unsubscribes are applied to the contact automatically, and contacts who have not engaged for a long time can be moved to a slower track or retired by rule.

Follow the rules

In the US, every marketing email needs a working unsubscribe and a postal address. In the UK, marketing email to individuals needs consent or an existing-customer relationship. Other countries have their own rules; the platform records consent and handles unsubscribes for all of them.

Before and after

Before and after email on the same platform

A separate email tool

  • Lists exported and imported by hand
  • One broadcast for every kind of contact
  • Sales cannot see who is engaging
  • Old enquiries forgotten after a month

Email on the CRM record

  • One record, always current
  • Segments built from what each person asked for
  • Warm contacts sent to their owner the same day
  • Nurture that runs for as long as it takes

Most enquiries are not ready on day one. The system keeps in touch until they are, and tells the right person when it happens.

The email is not the point. Knowing who is ready is.

FAQ

Questions buyers ask

How much does email sending cost?

Email is billed as used, at €0.0009 per email (€0.90 per 1,000), with no minimum. The email builder, segments, testing and automation are part of the licence.

Is there a limit on contacts or list size?

No. The licence covers unlimited contacts and unlimited users, so a growing list does not push you into a higher tier. You pay only for the emails you send.

Can we move our list from another email platform?

Yes. Contacts, tags and unsubscribe status are imported during onboarding, so nobody who opted out is emailed again. We set up your sending domain with you and warm it up, so deliverability starts in good shape.

How is this different from other email blast platforms?

Separate email blast platforms hold a copy of your list and report opens to a dashboard. Here email runs on the CRM record itself, so engagement reaches the sales team, a reply stops the sequence and the list never needs exporting.

What is the difference between a campaign and a sequence?

A campaign goes to a segment once, at a time you choose, like a newsletter. A sequence is a series of emails that starts when something happens to a contact, such as an enquiry or a booking, and stops when they reply or book.

Do we need a dedicated sending domain?

For anything beyond a handful of emails, yes. Sending from your own authenticated subdomain is what mailbox providers use to judge whether to trust you, and it protects the address your team uses for everyday email.

Can I send cold email from the platform?

The platform is built for contacts who have asked to hear from you: enquiries, clients and subscribers. Sending to bought or scraped lists harms deliverability for your own domain, breaks UK consent rules for most individual recipients and is not something we set up.
