A marketing funnel is the full path a buyer takes from first hearing your name to asking for a conversation. It is wider than any single page or campaign. Get it right and you can say where growth is stuck: too few people know you, too few of them engage, or too few of the engaged ones ask to talk. This article explains how the marketing funnel works for an established service company, and how to set it up on the levelpartner.ai platform so the whole path is visible in one place rather than spread across five tools.
How a marketing funnel works
The funnel narrows in three broad bands. At the top, people become aware of you through search, social posts, referrals, events or ads. In the middle, some of them engage: they read, download, subscribe or come back. At the bottom, a smaller group asks for something: a call, a quote, a proposal. Marketing's work ends there and sales takes over.
Most companies of 10 to 250 people track the bottom band reasonably well and the rest barely at all. That is why marketing spend is hard to defend in a flat year. Without the top and middle visible, nobody can show that this quarter's enquiries came from last quarter's work.
The decision that shapes everything
Before you build, decide what counts as a marketing qualified contact: the point where marketing hands a person to sales. Write it as a rule, such as "downloaded a resource and visited the services page" or "replied to a nurture email". Without that rule, marketing and sales argue about lead quality forever, and neither can prove the other wrong.
Before you start
- Your traffic sources listed, with a tracking convention for links.
- At least one way to engage readers who are not ready to talk, such as a download or a newsletter.
- A booking or enquiry page for people who are ready.
- The handover rule agreed between marketing and sales, in writing.
How to set it up
- Map every way a person enters, engages and asks.
- Write the handover rule from marketing to sales.
- In Automation, open Workflows and click + Create Workflow.
- Choose Start from scratch.
- Click Add New Trigger and choose Form Submitted.
- Add the Form Is filter, select your form and save.
- Add an action that tags the contact as engaged.
- Add an If/Else that checks your handover rule.
- On the ready branch, add Create Opportunity.
- Add Send Internal Notification for the sales owner.
- Turn on the Publish toggle, then click Save.
- Review the numbers monthly with marketing and sales together.
How to build marketing funnels for more than one audience
If you serve agencies, consultants, mortgage brokers and real estate firms, build one marketing funnel per audience, sharing the same tags and handover rule. The top band will differ the most: different search terms, different social channels, different events. The bottom band can often share a booking page with a question that routes the call.
Imagine 6,000 site visitors a month, 300 engaged contacts and 45 who meet the handover rule. Now split by audience. If one audience produced two thirds of the engaged contacts but only a third of the ready ones, its nurture would be the weak point. Rewriting that audience's emails would make more sense than spending more on traffic.
What it replaces and the time it takes
A connected marketing funnel replaces separate email, form, landing page and spreadsheet tools whose numbers never agreed. With every band in one database, the question "where did this client come from?" has an answer.
Plan two hours a week once it is running: one for the review of each band, one for improving the weakest step. The monthly joint review with sales takes another hour.
Treating every contact as a lead from day one. Sending a sales email to someone who downloaded a checklist yesterday teaches them to unsubscribe. Let the handover rule decide when sales gets involved.
When not to use the full model
If almost all your work comes from a small number of long-standing relationships and you have no plans to change that, a full three-band funnel adds reporting nobody will act on. A simple lead funnel for the enquiries you do get is enough. Equally, if you sell to a few large buyers through long cycles, read the B2B marketing funnel guide instead, which handles multiple contacts per account.
Troubleshooting
Contacts never move from aware to engaged. The engaged workflow only listens for one form. Add every download, signup and reply as a trigger.
Sales say the ready contacts are not ready. The handover rule is too loose. Tighten it by one condition and review again in a month.
The source field is blank for half the contacts. Links from social and email are missing tracking. Agree a link convention and use it every time.
The report shows more ready contacts than opportunities. The workflow tags contacts but the opportunity step fails for contacts who already have one. Add a condition to update the existing opportunity instead.
Frequently asked questions
How to set up a marketing funnel if we have no marketing team?
Start with the bottom and middle bands: one engaging offer, one booking page and the handover rule. One person can run that in two hours a week. Add top-band work once you can see what the middle needs.
How to build a marketing funnel that sales will trust?
Agree the handover rule with sales before you build, and review the ready contacts together every month. Trust comes from sales seeing the same numbers marketing sees.
What is the difference between marketing funnel stages and sales funnel stages?
Marketing stages track interest before a conversation. Sales stages track a deal after it. The marketing funnel stages guide covers the first set in detail.
How should we report the funnel to the board?
Show the number entering each band per month, by source, against the same month last year. The marketing funnel dashboard guide explains how to build that view.
