Mass SMS marketing: how it works and how to set it up

Mass SMS marketing stops being simple once your list passes a few thousand numbers. Carriers limit how fast an unregistered or poorly rated number can send, filter messages that look like spam, and track complaints per sender. Your team then has to absorb the replies. This article answers the operational question behind sending at volume: how to register, pace, segment and staff a large send on the levelpartner.ai platform so that every message actually arrives and the replies get handled.

What changes at volume

Sending 200 texts and sending 20,000 are different jobs. At small scale, a poor message costs a few opt-outs. At large scale, it can push your complaint rate high enough that carriers slow or block your number, which affects every appointment reminder and service text that shares it.

There are four pressure points: registration, throughput, content filtering and inbound volume. Each has a fix inside the platform.

Registration and throughput

In the US, business texting over standard numbers runs through 10DLC registration, which ties your number to a verified brand and campaign. Unregistered traffic is heavily filtered. In the UK, alphanumeric sender IDs and mobile numbers each have their own rules on replies and opt-outs. Complete registration in the Trust Center under the phone system settings before your first large send, and describe your messages accurately, because mismatches cause rejections.

Throughput, the number of messages per second your number can send, depends on that registration. Drip Mode on a bulk send releases the list in batches at intervals you set, so you do not need to split lists by hand.

Before you start

  • Approved registration for each number you send from.
  • A consented, cleaned list with invalid and landline numbers removed.
  • Segments that let you send in waves, for example by region or last activity.
  • A plan for reply volume: who answers, saved replies and an AI agent for overflow.
  • A separate number for transactional messages if marketing volume is high.

How to send in waves

Clean the list first: remove duplicates and numbers that failed on earlier sends, and write a message that fits one segment. Then release it in batches with Drip Mode.

  1. Go to Contacts.
  2. Choose Send SMS as the action type.
  3. Select the audience from a smart list, most engaged first.
  4. Under Delivery Method, choose Send in Drip Mode.
  5. Set Start On, Batch Quantity and Repeat After.
  6. Optionally set Send On, Process Between and End At.
  7. Add an action description, such as the campaign name.
  8. Review the estimated duration.

Watch the first batch under Contacts > Bulk Actions with Show Stats. If failures or opt-outs are out of line, pause the remaining batches from the three-dot menu, fix the message and resume.

Why waves beat a single send

Sending in waves gives you an early warning. If the first wave produces unusual opt-outs or a confusing reply pattern, you can fix the message before it reaches everyone. It also spreads reply volume across the day so a small team can keep up.

Illustration: a 120-person real estate group texting its buyer database

Picture 18,000 buyers with SMS consent, sent in four waves of 4,500 across one morning, most engaged first. Suppose wave one reveals a broken link within ten minutes; it can be fixed before waves two to four go, so three quarters of the list never see the error. If the day brought 640 replies, an AI agent answering 400 and negotiators taking 240 would keep the queue manageable. The numbers are assumptions.

Content that passes carrier filters

Carriers look for patterns associated with spam: shortened public links from generic shorteners, all-capital words, heavy punctuation and wording that does not match your registration. Use trigger links or a short path on your own domain, write in normal sentence case and keep the message close to the use case you registered.

Staffing the replies

Every mass send generates replies. Some will be questions, some complaints and some new business. Route them in Conversations by region or service line, and give the AI agent clear limits so it hands complex threads to a person. The mass text messaging for business guide covers the inbox side in more detail.

Time it takes

Preparing a large send, with clean-up and segmentation, takes half a day the first time and about an hour after that. Monitoring and replies take a few hours on the day. A firm sending monthly should allocate one person for most of that day.

The mistake most people make

Treating a large list as one audience. A buyer who enquired last week and one who last opened a message two years ago should not receive the same text at the same time. Lead with your most engaged segment, then decide whether the rest need this message at all.

The common mistake

Using one number for marketing and every client service text. If a marketing send damages the number's rating, reminders and confirmations suffer too.

When not to send at volume

If only a small share of your list has engaged in the last year, a mass send will mainly generate complaints. Re-permission the list by email first. For a comparison of mass and bulk approaches, read bulk SMS marketing, and for broader volume campaigns see mass text marketing.

Troubleshooting

Messages are queued for hours. Your number's throughput is lower than the send size requires. Spread the send over more time with smaller batches, or consider a number type with higher throughput.

Delivery failures rise on later waves. Carriers may be filtering. Check the content against your registered use case and pause the remaining batches.

The team cannot keep up with replies. Add saved replies for the top questions and let the AI agent handle simple ones.

A wave went to the wrong segment. Check the smart list filters before scheduling each wave, not only the first.

Frequently asked questions

Yes, when every recipient consented to marketing texts from you and each message carries an opt-out.

How fast can the platform send?

That depends on your number type and registration. Drip Mode lets you pace a bulk send to match.

Should I use a short code?

For very high volume, a short code can help. Our article on SMS short code marketing covers the trade-offs.

How do I measure a mass send?

Track bookings or sales from the tracked link and replies, then compare them with the cost of usage and staff time.
