SMS, WhatsApp and calls

SMS and WhatsApp marketing

Every enquiry gets a personal reply in under a minute, by text or WhatsApp, at any hour. This is a marketing text message service built into your CRM: two-way conversations, missed-call text-back, campaigns and calls on one record, with consent tracked and messaging billed as used.

The problem

Your enquiries reply by text and you answer by email tomorrow

Revenue has stopped growing, and the enquiries that do come in are answered late. A call is missed at 17:45, a web form arrives on Saturday, a WhatsApp sits on someone's personal phone. By the time anyone replies, the person has spoken to someone else.

Texting is how people expect to reach a business now, and a marketing text message service that sits outside your CRM cannot see who is texting, whether they agreed to hear from you or what happened last. Here SMS, WhatsApp and calls run from the same platform as your CRM, so the first reply goes out on its own and the conversation carries on with a person.

Missed calls go nowhere

A call nobody could answer is often the last you hear from that person.

WhatsApp lives on personal phones

Client conversations sit on one person's device, invisible to the rest of the team.

Replies wait until the morning

Enquiries after hours get an answer when the office opens, which is too late.

Nobody can prove consent

Bulk texts go out from a list with no record of who opted in, when or how.

A missed call is an enquiry.

Text back in seconds.

Keep the whole thread.

What happens to a lead

Every enquiry answered by text in under a minute

This is SMS automation at work: the first reply, the reading and the hand-off to a person, before anyone has had to pick up the phone.

The price of doing nothing

What replying after the first hour costs you

Enquiries reached within an hour book more often than enquiries reached later. Put in your own figures and see the difference for your business.

Your enquiries
Check last month's first reply times.
In your currency.

Fixed in the calculation

  • How much more likely an enquiry reached within the hour is to qualify: about 7 times (source B-01, below)

Based on the figures you entered

Meetings lost each month5 to 9
First-year revenue at stake each month€6,250 to €10,710
Over a year€75,000 to €128,600

This is your own arithmetic on the figures you entered, not a result levelpartner.ai has produced for anyone.

How this is calculated

late enquiries = enquiries × share answered after an hour

low estimate: late enquiries × (your fast booking rate − your late booking rate)

high estimate: late enquiries × (your fast booking rate − your fast rate ÷ 7)

revenue = meetings lost × your close rate × first-year value

The low end uses only your own booking rates. The high end applies the finding that enquiries reached within an hour were nearly seven times as likely to qualify (B-01). That study is from 2011, covers many sectors and describes likelihood, not a promise. Speed does not turn a poor lead into a good one.

Sources for the defaults. B-01: Oldroyd, McElheran and Elkington, "The Short Life of Online Sales Leads", Harvard Business Review (figures as quoted in SmartCompany coverage), published March 2011 (source, checked 2026-10-16).

Worked example. 100 enquiries a month, half answered after an hour, booking rates of 20% (fast) and 10% (late), a 25% close rate and a first-year value of 5,000: about 5 to 9 meetings a month, worth roughly 6,250 to 10,710 of first-year revenue each month.

What it does

An SMS marketing platform and WhatsApp in one CRM

Texts, WhatsApp messages and calls sit on the same contact record as your pipeline, calendar and email, so every message knows who it is going to, whether they agreed to it and what happened last.

Two-way SMS from a business number

Text customers from a local business number, with picture messages where the network supports them. Replies land in the shared inbox on the contact's thread, so the whole team sees the conversation and nobody texts clients from a personal phone.

WhatsApp Business on the record

Connect a new WhatsApp number, or keep the WhatsApp Business app on the office phone and run the same number from the platform side by side. Free-form replies work once a customer has written to you; approved templates, built with a live preview, start conversations outside that window.

Missed-call text-back

When a call goes unanswered, a text goes out within seconds asking how you can help. The caller has a conversation instead of a voicemail, and the owner sees it straight away.

Automated texting that stops when people reply

Confirmations, reminders and follow-ups go out by text or WhatsApp on the timings you set, from a workflow, and stop as soon as the person replies. The routine runs on its own and the conversation goes to a person.

Text message marketing campaigns

Send a campaign to a segment built from tags, stages or past behaviour, personalised from the contact record and scheduled for a sensible local time. Opted-out contacts are skipped automatically, and a reply to a campaign becomes a conversation in the inbox.

Calls on the same timeline

Make and take calls from the browser or the mobile app on your business number, with optional recording and voicemail, all logged against the contact. Every call, text and WhatsApp message sits on one timeline the next person can read in seconds.

A missed-call rule, as it reads
  1. When a call is not answered
  2. Then text the caller within seconds
  3. If they reply, label the intent
  4. And send the booking link, alert the owner
  5. Always log the call and the thread
Before the first text

Registration and consent, sorted during onboarding

Carriers and Meta now check who is sending before they deliver. These are the steps, in the order they happen.

  1. Register US numbers

Texting US contacts from a local number needs your brand and your messaging campaign registered under A2P 10DLC. Unregistered traffic is filtered or blocked. Toll-free numbers go through their own verification instead.

  2. Set up WhatsApp with Meta

WhatsApp Business needs a Meta business portfolio, a verified number and approved message templates. You can start fresh, connect the WhatsApp Business app you already use, or move from another provider.

  3. Capture consent at the source

Forms, booking pages and chat record the opt-in on the contact with where and when it was given, so every campaign can be traced back to a yes.

  4. Send, and honour every stop

Opt-out replies are applied to the contact at once, campaigns skip anyone who has opted out, and the record shows the history if anyone asks.

Before and after

Before and after texting from your CRM

Personal phones and a bulk text app

  • Missed calls become voicemails nobody returns
  • WhatsApp threads on one person's phone
  • After-hours enquiries wait until morning
  • Campaigns sent with no record of consent

SMS and WhatsApp on the record

  • Missed calls get a text within seconds
  • Every thread visible to the whole team
  • First replies go out at any hour
  • Opt-ins and opt-outs kept on each contact

People text because they want an answer now. A system that answers at once, and remembers who said yes, keeps the conversation.

The business that answers first usually gets the conversation.

The rules, in plain terms

What messaging rules expect of you

A summary of the ground rules we set the platform up around, with the US and the UK as two common examples. Canada, Australia, New Zealand and Ireland also require consent for marketing texts; check the rules in each country you sell to. It is not legal advice; for anything specific to your business, take advice from someone qualified.

United States

Federal rules require prior consent for automated marketing texts, written consent for most marketing, and some states add their own rules and quiet hours. Carriers expect every sender to be registered.

United Kingdom

Marketing texts to individuals need prior consent, with a narrow exception for existing customers who bought similar services and were offered an opt-out. UK data protection rules cover how you keep the record.

WhatsApp

Meta expects an opt-in before you message first. Free replies are allowed once a customer has written to you; outside that window you send an approved template.

Every message

Say who you are, keep marketing separate from service messages, and give a simple way to stop. Do not text bought or scraped lists, in any country.

Calls

Recording is a setting, not a default. Tell callers when a call is recorded, and keep recordings only for as long as you need them.

FAQ

Questions buyers ask

How much does SMS and WhatsApp messaging cost?

Messaging is billed as used, with no minimum: SMS from €0.010 per segment, WhatsApp from €0.0048 per message plus €30.00 a month for the connection, and calls from €0.022 a minute. A business number is from €1.53 a month depending on the country. The inbox, automations and campaigns are part of the licence; WhatsApp itself is not, it carries its own monthly fee plus per-message charges.

How is this different from a standalone marketing text message service?

A standalone marketing text message service sends bulk texts from its own list. Here texts and WhatsApp messages run on the CRM record, so replies land in the shared inbox, campaigns know who is already a client and who has opted out, and every message is logged on the deal.

Do we need to register before we can text US contacts?

Yes, for local US numbers. Your brand and the type of messages you send are registered under A2P 10DLC before carriers will deliver reliably, and toll-free numbers have their own verification. We complete the registration with you during onboarding, so plan for it before your first campaign rather than the week of it.

Do we need consent to send text message marketing?

Yes, in the US, the UK, Canada, Australia and most other markets. In the US, marketing texts need the recipient's prior consent, and in most cases written consent. In the UK, they need prior consent unless a narrow existing-customer exception applies. The platform records each opt-in and applies opt-outs at once; the legal judgement for your business is yours, so take advice if you are unsure.

Can we keep using the WhatsApp Business app on our phone?

Yes. You can connect the WhatsApp Business app you already use, keep it on the office phone and run the same number from the platform, with recent chat history brought across. Template messages are sent from the platform rather than the app.

What is missed-call text-back?

When a call to your business number goes unanswered, the caller gets a text within seconds asking how you can help. The conversation continues by text with the owner alerted, so the call is not lost to a voicemail.

Can we keep our existing phone number?

In most cases, yes. Numbers can usually be ported to the platform, or you can add a new local number and forward your existing one while the port completes.

Who is this not for?

If you want to send one-way bulk texts to a bought list, this is the wrong tool and the wrong idea in both markets. It is built for conversations with people who asked to hear from you.
