Holiday email templates you can adapt

Holiday email templates for a service firm have one job: keep clients and prospects warm through the weeks when nobody makes decisions, without adding noise to inboxes already full of retail offers. A consultancy, agency, brokerage or estate agent is not selling a discount. You are telling people when you are open, thanking clients, and setting up the first conversation of the new year. This article gives you five templates that fit firms in most English-speaking markets, with US and UK dates as examples, then shows how to schedule them and suppress the right contacts on the levelpartner.ai platform.

Why service firms get holiday email wrong

Most holiday templates are written for shops. They lead with a sale, a countdown and a gift guide. A 40-person consultancy copying that structure looks out of place, and a prospect in the middle of a proposal reads it as a firm that does not know who it is.

The useful holiday emails for your business are operational and relational. Office closures, a short thank you, a note about the year ahead. They are short, they ask for little, and they earn a reply because they feel written by a person.

Five templates you can adapt

Write each in your own voice. The structures below are what makes them work.

Thanksgiving thank you (US clients)

Send to active clients only, the Monday before Thanksgiving. Three sentences: one thing you valued working on with them this year, a thank you from the team, no request. Do not attach a newsletter. A message with no ask is the reason this one gets replies.

Office closure notice

Send to everyone who might contact you over the break: clients, open prospects, suppliers. State the dates you are closed, who to contact for anything urgent and when normal service resumes. Put the dates in the subject line so nobody needs to open it to find them.

Bank holiday reminder (UK)

For UK clients with time-sensitive work, such as mortgage completions or property exchanges, a short note a week before a bank holiday prevents surprises. Name the bank holiday, say what is affected and what the client should do before it.

Year-end thank you

Send in mid-December to clients and warm past clients. One paragraph, signed by a named partner or director. Avoid religious assumptions unless you know your audience. "Thank you for this year" works everywhere.

New year planning invitation

Send in the first full working week of January to prospects who went quiet in the autumn and clients approaching renewal. Offer a planning call for the quarter ahead with a booking link. This is the one holiday-period email with a clear ask, and it lands when budgets reopen.

A hypothetical schedule might look like this. A Thanksgiving note to 80 US clients on the Monday of that week. A closure notice to 1,400 contacts on 15 December. A year-end thank you from the managing director to 220 clients and past clients on 17 December. A new year planning invitation to 340 quiet prospects and renewing clients on 6 January, with a booking link to the sales team's calendar. Five emails, four audiences, no discounts.

Before you start

  • Your contacts carry fields or tags that separate clients, prospects, past clients and suppliers, and record a country where it matters.
  • Your office closure dates are confirmed.
  • The booking calendar for January planning calls exists in Calendars with the right team members assigned.
  • Your sending domain is authenticated and has been sending regularly. A domain that only sends at Christmas tends to land in spam.

How to schedule and suppress them

  1. In Contacts, click + Add smart list for each audience.
  2. Build a suppression smart list of contacts to leave out.
  3. In Marketing, Emails, Campaigns, click New for each template.
  4. Write the copy in the builder, then Preview and Test Email.
  5. Click Send or Schedule and set a weekday morning.
  6. Add the audience under Recipients and click Schedule.
  7. For the January invitation, build a Contact Tag workflow.
  8. Add a five-day Wait, then the short second email.
  9. Add a Goal Event for an appointment, set to End this workflow.
  10. Send a test of every campaign to two colleagues.

Do the build in October or early November. In December your team is busy closing the year and nobody has time to proof five campaigns.

Suppression matters more than copy

The biggest risk in holiday email is sending a cheerful message to the wrong person. A client who has just complained, a prospect whose deal you lost last week, a contact whose relative recently died. A well-maintained suppression list costs ten minutes and prevents the replies you do not want.

Also suppress anyone currently in a sales follow-up workflow. They are already hearing from you. A seasonal email on top of a follow-up sequence reads as automated. For how to structure those follow-ups so they pause cleanly, see setting up a sales follow-up email.

The common mistake

Sending the year-end email to your whole database. Old suppliers, contacts who never became clients and people who unsubscribed from sales emails but not from everything end up hearing from you for the first time in two years. Send only to people with a current relationship.

When not to send holiday emails

If you have no clients in the US, skip Thanksgiving. If your sector is in a busy period over December, such as year-end tax work, a closure notice may be wrong because you are not closing. And if you send nothing all year, a holiday email is the worst time to start. Build a regular programme first. The Black Friday templates cover the one seasonal moment where an offer can make sense, and a newsletter template you can adapt gives you the year-round rhythm that makes seasonal notes land.

For planning all seasonal sends in one place, use an email marketing calendar.

Troubleshooting

UK contacts got the Thanksgiving email

The audience filter did not include country, or the country field is empty. Fill the field from address data and add country to every seasonal list.

Replies over the break went unanswered

The automatic reply was not set, or it was set on one inbox only. Set it in Conversations for every user who receives client email, and name the urgent contact in the message.

The January invitation produced no bookings

Check that the booking link pointed to a calendar with availability in January. Calendars often have the team marked unavailable for the first week.

Frequently asked questions

When should we send a holiday closure email?

About ten days before the closure starts, with a short reminder on the last working day. Put the dates in the subject line.

Should holiday emails include an offer?

For most service firms, no. A thank you or a practical notice earns more goodwill than a seasonal discount, and discounting professional services can undermine your fees.

Can we use the same templates in every country?

Mostly. The closure notice and year-end note work anywhere. Thanksgiving is US-only, bank holiday notes are UK-only, so adapt them to public holidays in your other markets, and spelling should match the recipient's market.

Yes. Any marketing email to a list needs one. The platform adds it to campaigns automatically.
