How to build a sales funnel from scratch is a different job from improving one. From scratch means no contact list worth the name, no CRM, perhaps a dated website and leads that live in people's inboxes. Before you build any page, you have to gather what you already know, put your existing contacts somewhere useful and set up the pipeline the funnel will feed. This article covers that groundwork and the first build on the levelpartner.ai platform, in the order that avoids rework.
Start with what you already have
Even a firm with no system has assets. Past clients in an accounting package. Enquiries in sales inboxes. Business cards from events. A website that gets some visits. The first task is to collect these into one place, because your first funnel will work best on people who already know you.
Spend a day pulling contacts together. Export what you can, clean the obvious duplicates and mark each contact as a client, a past enquiry or a general contact. That list becomes the first audience for your funnel.
Before you start
- Contact exports from every place you can find them, in spreadsheet form.
- A description of your three most recent client wins: who they were, how they found you, what they bought.
- A decision on the one offer your first funnel will promote.
- A domain you control, with access to its DNS records.
How to set it up
- Gather your contacts and notes on your last three wins.
- In Contacts, click Import Contacts and choose Contacts.
- Click Next, upload your CSV and choose the import type.
- Map each column to a field and tag the imported contacts.
- Start the import and check results in Bulk Actions.
- Go to Settings, open Custom Fields and click Create field.
- Choose the Field type, enter a Field name, then Create custom field.
- Go to Sites, open Funnels and click New Funnel.
- Build an offer page with a short form, then a booking step.
- Click Save, then Publish, and email past enquiries first.
Reading your last three wins
Your recent clients already tell you what your funnel should be. Look at how each one found you, what they asked first and what convinced them. If all three came from referrals and wanted a short call before anything else, your funnel should make that call easy to book. If they each downloaded something first, lead with a useful download.
That is far more reliable than copying another firm's funnel. For the stages to set in your pipeline, the guide to sales funnel stages gives a starting structure you can adapt.
Say a firm finds 1,400 contacts across two inboxes, an accounting export and an old event list, and 900 survive cleaning. If its last three clients all asked for a short diagnostic call before a proposal, that call is the obvious first offer. Sent to 300 past enquiries with a personal note, even a 5% response would mean around 15 calls booked before any advertising.
What it replaces and how long it takes
Building from scratch replaces scattered inboxes, a contact spreadsheet and a website form that emails one person. Plan a week in total: two days on contacts and pipeline, two on the funnel and follow-up, one for testing and the first send. After that, running it takes about an hour a week.
Importing contacts and emailing them all at once with no permission check. People who never agreed to hear from you will mark you as spam, damaging your sending domain before the funnel even starts. Email past enquiries and clients first, with a personal note, and respect the rules on marketing consent in your market.
When not to start from scratch
If you already have a CRM with years of reliable data, do not rebuild everything. Connect the funnel to what works and move the rest across gradually. Starting from scratch makes sense when the existing data is so scattered that nobody trusts it. For firms adding a funnel on top of an existing setup, how do you build a sales funnel covers the layered approach.
Troubleshooting
The import creates duplicate contacts. The same person appears with different emails or name spellings. Merge duplicates by email or phone after import, and set the import to update existing records.
Imported contacts show no source. The source column was not mapped. Re-import with the source column mapped to a custom field.
The first send goes mostly to spam. The domain was too new or the list too old. Send in smaller batches over several days, starting with the most recent contacts.
The pipeline feels wrong after a week. Stages based on assumptions rarely survive real leads. Adjust them now, before you have many opportunities in each.
Frequently asked questions
Do I need a website before building a funnel from scratch?
No. The funnel can live on its own domain or subdomain, and many firms build one before rebuilding their site. When you do build the site, the guide on how to build a funnel website shows how to connect the two.
How many contacts do I need to start?
None, strictly, but a few hundred past enquiries and clients make the first weeks far more useful. They respond faster than strangers and tell you quickly whether your offer lands.
What should my first offer be?
Whatever your recent clients asked for first. For most service firms, that is a short call or a diagnostic. The guide to how to create your own sales funnel covers choosing between offers in more depth.
