A lead funnel is the part of your process that decides what happens to an enquiry in the first hour: who it goes to, how fast they reply, and whether it is worth a sales call at all. Most companies have plenty of pages and no real lead funnel, so good enquiries wait behind poor ones. This article covers how the lead funnel works on the levelpartner.ai platform, how to set it up so every enquiry is captured, scored and routed to a named person, and how to tell whether it is doing its job.
How a lead funnel works
Think of it in three moves. Capture: the enquiry arrives from a form, a chat, a call or a message, and becomes a contact record. Qualify: a few answers decide whether the enquiry fits. Route: the qualified enquiry reaches the right owner with everything they need, and the unqualified one gets a polite, useful reply without consuming a salesperson's afternoon.
The lead funnel is not about generating more enquiries. It is about not wasting the ones you already get. In many stalled companies, that alone restarts growth, because the enquiries were there all along and simply went cold in a shared inbox.
Before you start
- Every source of enquiries listed: website forms, funnel pages, phone, chat, social messages, referral emails.
- Two or three qualifying questions your best salesperson asks on every first call.
- A written rule for who handles what, for example by service, by region or by deal size.
- A pipeline in Opportunities with a first stage for new, unqualified enquiries.
Write down what a good enquiry looks like before building anything. If your sales lead and your managing director disagree, settle it now, because the routing rules depend on it.
How to set it up
- Write your qualifying questions and your routing rule.
- Go to Sites, open Forms, click + Create New Form and add the questions as dropdowns.
- In Automation, open Workflows and click + Create Workflow.
- Choose Start from scratch.
- Click Add New Trigger and choose Form Submitted.
- Add the Form Is filter, select your form and save.
- Add an If/Else that branches on the qualifying answers.
- On the fit branch, add Assign to User and Create Opportunity.
- Add a Send Email reply with the owner's booking link.
- Add Send Internal Notification by SMS for the owner.
- On the None branch, send a helpful reply instead.
- Turn on the Publish toggle, then click Save.
What the lead funnel replaces
Before a lead funnel, the typical routine in a 40-person firm is a contact form emailing reception, who forwards it to whoever seems right, who replies when they get to it. Each hand-off loses time and context. Phone enquiries get written on paper and some never reach the CRM at all.
The lead funnel replaces that chain with one rule set. Every channel feeds the same workflow, every enquiry gets an answer within minutes, and the owner sees the qualifying answers before picking up the phone.
Say a consultancy gets 120 enquiries a month and routes them to four service owners. Suppose the scoring labels 35 as fits, 40 as possible fits and 45 as not a fit. Fits would be answered within ten minutes. If partners currently spend Monday mornings sorting the inbox, automatic routing could hand back several hours of senior time each week.
Time to run each week
About an hour. Check the flagged enquiries that waited too long, read a sample of the enquiries labelled not a fit to make sure the rules are not too strict, and look at which source produced the fits. Once a quarter, review the qualifying questions with sales.
Routing by round robin when your services differ. Round robin is fair to salespeople and unfair to buyers. A real estate landlord enquiry handed to the sales negotiator, or a remortgage case handed to someone who only does purchases, wastes the first call. Route by fit first and spread the load second.
When not to use it
If you get fewer than ten enquiries a month and one person handles all of them, a full routing set-up is more machinery than you need. A single instant reply and an owner alert will do. Build the rest once volume justifies it, or once you start a lead generation funnel that raises the volume.
Troubleshooting
Phone enquiries never enter the workflow. Missed and answered calls create conversations but the workflow only listens for forms. Add a trigger for inbound calls and messages as well.
Good enquiries are labelled not a fit. A qualifying question is too blunt, such as a budget dropdown that buyers answer cautiously. Soften the question or move it to the first call.
Two owners receive the same enquiry. The contact submitted two forms and passed through the workflow twice. Add a condition that skips assignment if the contact already has an owner.
Owners ignore the alerts. Too many alerts arrive for low-value enquiries. Only alert on fits, and send everything else to a daily summary.
Frequently asked questions
How to create a lead funnel if my enquiries come from many places?
Start by getting every channel into Conversations, so there is one place they all land. Then build one workflow that every new enquiry passes through. The channels can differ, the rules should not.
Is a lead funnel the same as a sales funnel?
No. The lead funnel covers the first hours, from enquiry to qualified conversation. The sales funnel covers the whole path to a signed client, including proposals and follow-up.
Should an AI agent qualify leads?
It can handle the possible fits well: asking the extra question, answering simple queries and offering a booking time. Keep the clear fits going straight to a person, at least until you trust the agent's answers.
How do I measure whether the lead funnel works?
Track the time from enquiry to first reply, and the share of fits that book a call. Both should improve within a month. The marketing funnel dashboard article shows how to put those numbers on one screen.
