Real estate CRM comparison: how to choose

A useful real estate CRM comparison starts with how your enquiries arrive and how fast you answer them, not with a feature list. This guide sets out what an estate or brokerage office needs, compares HubSpot, Salesforce, Pipedrive and levelpartner.ai on those points with dated prices, and shows how to test a CRM in a week before you switch.

What a real estate team needs

Four things decide whether a CRM works in real estate

Property enquiries are perishable. A buyer who asked about a listing on Saturday morning has often asked about others by Saturday afternoon. A seller who requested a valuation often books with whoever calls back first. So the questions that matter in a real estate CRM comparison are about speed, channels and follow-up, not about how many custom fields the product has.

Before you look at any vendor, write down how enquiries reach you today: portals, your website, phone, text, WhatsApp, walk-ins. Then check each CRM against the four needs below. A product that misses one of them will leave a gap someone has to fill by hand.

Reply in minutes, at any hour

Every portal and website enquiry gets a reply straight away, including evenings and weekends, with the right listing in it.

Text and WhatsApp, not only email

Buyers and sellers answer messages faster than email. Messaging should sit on the contact record, not on an agent's phone.

Viewings booked and reminded

Booking, confirmation and reminders cut no-shows and save the back-and-forth that eats an agent's day.

Long follow-up that does not stop

Most buyers and sellers are months away. Nurture keeps you in front of them until they are ready, without anyone remembering to do it.

Every channel, one system

Nine sources feed one CRM, and no lead is typed in by hand.

AI reads every enquiry

In any language, from any portal. Adding a portal needs no new build.

The right agent in seconds

Routing by budget, language and fair rotation, the moment the lead lands.

Nothing falls through

Returning clients keep their agent, and a lead with no owner triggers an alert.

Management sees everything

The sales manager is copied on every lead, and every lead sits in a pipeline with a value.

Built to change

Add or remove an agent or change the split in one setting, without rebuilding.

Strengths and limits for a property business

Read each against the four needs above. Each can be made to work; the question is what you add on top, and what that costs.

HubSpot

Stronger: a free plan for a two-person team, email campaigns and website chat from Starter, and marketing, sales and service on one record, which suits a business that wins vendors through content and valuations marketing.

Weaker: seat costs rise sharply once a growing office leaves Starter, automation draws on credits, and SMS is a US-only add-on, which matters for a lettings or sales office outside the US that lives on text.

Salesforce

Stronger: depth for a large brokerage with several offices: territories, forecasting, approval processes, sandboxes and an app ecosystem to extend it.

Weaker: annual terms above Starter Suite, no Flow Builder on the entry suite, and the pages we checked do not cover text or WhatsApp. It needs someone to own the configuration.

Pipedrive

Stronger: a clear deal pipeline at a low entry price, monthly billing, WhatsApp integration and call logging on every plan, and no onboarding fee. A small sales team can be working in it this week.

Weaker: no automations on Lite, capped automations above it, and email marketing as a paid add-on. Long buyer nurture and newsletter work means buying more.

levelpartner.ai

Stronger: instant replies, text, WhatsApp, calls, viewing booking, reminders, review requests and nurture on one record, with unlimited users and usage billed as used. 30 onboarding hours included.

Weaker: no free tier and no monthly plan. A solo agent or two-person office will pay less on a per-seat CRM. It is built for businesses with 10 to 250 staff.

Who uses it

Every role in the office needs something different

A real estate CRM is used by more people than the negotiators. On a per-seat CRM each of them is a line on the invoice, so list them before you compare prices.

Sales negotiators

Need every portal and website enquiry in front of them at once, a reply sent before they pick up the phone, and viewings booked straight into their calendar. They judge a CRM in the first week by whether it saves them calls or adds clicks.

Valuers and listing agents

Need valuation requests answered fast and a long nurture for sellers who are not ready, with a review request after every completion.

Lettings managers

Need landlords and tenants as separate pipelines, renewals on a schedule and texts that the whole office can see.

Office staff

Need access to every conversation, so a buyer who calls gets an answer without waiting for one agent to come back.

The branch owner

Needs one report from enquiry source to instruction to completion, and a system that stays when an agent leaves.

Before you switch

How to test a real estate CRM in one week

Trials and demos show a product at its best. Test it on your own enquiries instead, one task a day.

  1. Days one and two: real enquiries

Connect one portal or your website form. Time the first reply on a weekday evening and on a Saturday, then book one viewing end to end.

  2. Day three: text and WhatsApp

Send and receive from the contact record. Check the whole office can see the conversation, not only one agent.

  3. Day four: a long nurture

Set up messages for a buyer who is six months away. Check what that automation needs on the plan you would buy.

  4. Day five: price the real team

Count every agent, negotiator, lettings manager and administrator, then add the add-ons and onboarding from the table.

Which to choose if

Which real estate CRM to choose if

Choose HubSpot if

Marketing wins your instructions, you are US-based or rarely text, and you accept per-seat pricing as the office grows.

Choose Salesforce if

You run a multi-office brokerage with territories and reporting chains, and someone will own the configuration on an annual contract.

Choose Pipedrive if

You are a small sales team that wants a deal pipeline now, on monthly billing, and will add email marketing separately.

Choose levelpartner.ai if

You have 10 to 250 staff, enquiries arrive across portals, web, text and WhatsApp, and you want reply, booking and nurture running within weeks. See the real estate page.

What levelpartner.ai costs

What levelpartner.ai costs

The licence is €7,512 a year, with every feature available, unlimited users and unlimited contacts, with 30 hours of onboarding and a 30-day check-in after launch included. Work beyond the included hours is €85 an hour, scoped and approved before it is billed. Text, WhatsApp, email and call minutes are billed as used, with no minimum. See full pricing and usage rates.

Migration

Moving your property database

A real estate database is mostly people at different stages: applicants, vendors, landlords, past buyers. Move them in a way that keeps the stage, or the new CRM will treat a hot applicant like a cold one.

Export and tag by stage. Applicants, valuation leads, active vendors, landlords and past clients each get a tag before import, so nurture starts in the right place.

Clean duplicates. The same buyer often sits in the system three times, once per portal. Merge on phone and email first.

Rebuild reply and nurture first. Get instant reply and viewing reminders live before anything else; they protect the enquiries arriving during the switch.

On levelpartner.ai this fits inside the 30 included onboarding hours for most offices. Read how to keep track of real estate leads and the CRM migration checklist before you start. For the wider picture, see the CRM comparison.

FAQ

Questions buyers ask

What is the best CRM for real estate?

The one that answers every enquiry within minutes, keeps text and WhatsApp on the contact record, books and reminds viewings, and keeps long nurture running. Run the one-week test above on each candidate with your own enquiries, then price the whole team, not the entry plan.

How much does a real estate CRM cost?

Per-seat CRMs charge for every agent and administrator, and add onboarding, credits or add-ons at some tiers; the table above has each vendor's current prices and the date checked. levelpartner.ai is €7,512 a year for unlimited users, with usage such as text and email billed as used.

Do I need text and WhatsApp in my CRM?

If buyers and sellers reply to you by text, yes. Messages on an agent's own phone are invisible to the office and leave with the agent. Check what each CRM includes: in this real estate CRM comparison, only some channels are covered by the vendors' pricing pages, and HubSpot's SMS add-on is limited to US numbers.

Is a general CRM good enough for an estate business?

It can be, if it covers the four needs on this page. Check each candidate against them, and count any add-ons or setup work it needs to get there as part of the price.

Should every agent have their own login?

Yes. Shared logins hide who said what to which buyer, and they break when someone leaves. The cost is the reason offices share: on a per-seat CRM every login is a seat. levelpartner.ai has unlimited users on one licence, so every agent, negotiator and administrator can have their own.

What should I ask in a real estate CRM demo?

Ask the presenter to use your enquiries, not theirs. Then ask four things: how the first reply goes out on a Saturday evening, how a viewing is booked and reminded, where a WhatsApp conversation is stored, and what the plan that does all of that costs for your whole office, with onboarding.

Does a lettings team need a different CRM from sales?

Not a different CRM, but a different setup. Lettings works with landlords and tenants, renewals and repeat contact, so it needs its own pipelines and reminders. Check that the CRM you choose can run sales and lettings side by side without mixing the two.

How long does it take to move to a new real estate CRM?

Most levelpartner.ai clients go live in two to four weeks, inside the 30 included onboarding hours for most offices. Get instant reply and viewing reminders live first, then move nurture.
