CRM for roofing contractors that books the inspection first

After a storm the phones ring while every rep is on a roof, and the homeowner books whoever calls back first. A roofing CRM that texts back in under a minute, books the inspection, keeps insurance and retail jobs on separate tracks and chases every unsigned estimate.

For roofing companies with 10 to 250 staff
  • Storm-damage form
  • Missed calls
  • Door knocks
  • Google Business Profile
  • Paid search
  • Shared lead services
  • Yard signs
  • Neighbour referrals
  • Insurance agents
  • Past customers
The situation

Storm weeks, quiet weeks and estimates nobody chases

Roofing demand arrives in surges. A hail or wind event fills the phones for a fortnight, then it goes quiet. In the surge, the owner and the reps are up ladders, calls go to voicemail and the homeowner rings the next name on the list. Shared lead services make it worse: the same lead is sold to several roofers, and the first one to book an inspection usually gets the job.

The second leak comes after the inspection. A retail estimate goes out, the homeowner says they will think about it, and nobody calls back. Insurance jobs stall between the adjuster meeting, the scope of loss and the supplement, because each step lives in a different inbox. Owners describe the same wish on roofing forums: one place for lead tracking, reminders and estimates, instead of three tools and a notebook.

Calls missed on the roof

The people who sell are also the people on ladders, so storm calls go to voicemail and are lost to the next roofer.

Shared leads, slow replies

A lead bought from a lead service goes to several contractors. Reply an hour later and the inspection is already booked elsewhere.

Estimates left to think about

Retail estimates sit unsigned for weeks because the follow-up depends on a rep remembering between jobs.

Claims stall between steps

Adjuster meetings, scopes and supplements are tracked in heads and texts, so the homeowner hears nothing and loses confidence.

Every storm call answered.

Every inspection booked.

Every estimate chased.

The price of doing nothing

What a slow call-back costs a roofing company

Put in your own numbers from the last storm season. The result is your arithmetic, not a promise.

Your enquiries
Check last month's first reply times.
In your currency.

Fixed in the calculation

  • How much more likely an enquiry reached within the hour is to qualify: about 7 times (source B-01, below)

Based on the figures you entered

Meetings lost each month5 to 9
First-year revenue at stake each month€6,250 to €10,710
Over a year€75,000 to €128,600

This is your own arithmetic on the figures you entered, not a result levelpartner.ai has produced for anyone.

How this is calculated

late enquiries = enquiries × share answered after an hour

low estimate: late enquiries × (your fast booking rate − your late booking rate)

high estimate: late enquiries × (your fast booking rate − your fast rate ÷ 7)

revenue = meetings lost × your close rate × first-year value

The low end uses only your own booking rates. The high end applies the finding that enquiries reached within an hour were nearly seven times as likely to qualify (B-01). That study is from 2011, covers many sectors and describes likelihood, not a promise. Speed does not turn a poor lead into a good one.

Sources for the defaults. B-01: Oldroyd, McElheran and Elkington, "The Short Life of Online Sales Leads", Harvard Business Review (figures as quoted in SmartCompany coverage), published March 2011 (source, checked 2026-10-16).

Worked example. 100 enquiries a month, half answered after an hour, booking rates of 20% (fast) and 10% (late), a 25% close rate and a first-year value of 5,000: about 5 to 9 meetings a month, worth roughly 6,250 to 10,710 of first-year revenue each month.

What it does

What a CRM for roofing contractors needs to do

Your estimating, measurement and production tools stay where they are. The platform runs the part before the contract is signed and the part after the job is finished, which is where most roofing revenue leaks.

Two tracks: insurance and retail

Insurance jobs move through inspection, claim filed, adjuster meeting, scope received, supplement and signed. Retail jobs move through inspection, estimate sent, follow-up and signed. Each stage carries a value and an owner, and a deal that sits too long in one stage raises a task. Rules on what a roofer may do inside an insurance claim differ by state and country, so check yours before you write the scripts.

How pipelines work

Speed to lead without more office staff

Missed-call text back, an AI agent on web chat, SMS, Facebook and Instagram, and an AI voice agent for overflow calls. Start the AI in suggestion mode, where it drafts replies for a person to approve, and switch to automatic replies once the drafts no longer need editing.

AI agents and chat

Estimate follow-up that does not depend on memory

When an estimate is sent, a sequence starts: a text two days later that refers to the actual quote, an email with photos from the inspection, a task for the rep to call. It stops the moment the homeowner signs or says no, and anyone who replies stop is never messaged again.

Workflows

Contracts signed on the phone

Send the estimate or contract from a template with the homeowner's details filled in, collect an e-signature and take a deposit by payment link. Where a contract is signed in the home, check the cooling-off rules that apply to you and put them in the template.

Payments and documents

Reviews and neighbours after the job

A completed job triggers the review request. The same moment is the time to ask for referrals and to send a short note to the street, which is how storm work spreads.

Reputation

Lead source to signed contract

Every lead keeps its source, so you can see which of paid search, shared lead services, door knocking and referrals produced signed roofs, not just phone calls. That is the number to decide next season's spend on.

Reporting and attribution

A follow-up rule, as it reads
  1. When a retail estimate is sent
  2. Wait two days
  3. If not signed and no reply
  4. Then text the homeowner about their quote and give the rep a call task
  5. Stop when signed, lost or opted out
What it replaces

From a phone, a notebook and three logins to one roofing CRM

A typical roofing company runs sales across a mobile phone, a shared inbox, a lead-service app, a spreadsheet of estimates and a separate review tool. The production side lives in the estimating or project tool. Nobody sees the whole funnel.

The usual roofing stack

  • Storm calls on personal mobiles and voicemail
  • Shared leads worked from an app, one by one
  • Unsigned estimates in a spreadsheet nobody updates
  • Reviews asked for when someone remembers

One platform

  • Every call, form and door knock on one record
  • Replies in under a minute on every channel
  • Follow-up on every estimate until signed or lost
  • Review requests on every completed job

Consolidating means one licence with unlimited users, so adding canvassers and storm-season reps adds no seat cost. Your measurement, estimating and production tools stay; the platform sits in front of them.

What it costs

One licence, no tiers

Every feature is available on one licence, with no tiers to climb and no per-seat fees. Usage is billed as used, including WhatsApp, premium workflow steps, local listings sync and AI; implementation and custom work are priced separately and agreed before any work starts.

FAQ

Questions buyers ask

What is the best CRM for roofing contractors?

The one that wins the inspection and the signature, not only the one that stores the job. Look for missed-call text back, booking by area, separate insurance and retail stages, estimate follow-up that runs on its own and lead source tracked to signed contracts. Keep your measurement and production software for the build.

Do I still need my roofing estimating or production software?

Yes, keep it. Measurement reports, material orders and crew scheduling stay in the tool built for them. The platform handles the conversation with the homeowner before and after the job, and the two can pass contact and job data through webhooks or the API, scoped during onboarding.

How do roofers follow up on estimates without being pushy?

Refer to the actual quote, ask one easy question and stop when they answer. A text two days after the estimate, an email with inspection photos a few days later, and a call from the rep after that keeps the quote fresh without pressure. The sequence ends the moment they sign, decline or opt out.

Can an AI answer my phones after a storm?

Yes. The AI voice agent answers overflow or after-hours calls, asks your questions, books the inspection and sends the rep a summary. Give it your service area, your inspection process and what counts as an emergency, and test it on your own phone before it takes live calls.

Can we text homeowners we met door knocking?

Only with their consent, and the rules differ by country and state. Capture consent on the canvassing form, keep it on the contact record and honour every stop reply. Check the texting and calling rules where you work, including number registration, before you send.

How does a roofing company get more Google reviews?

Ask every customer at the same moment: when the job is marked complete and the yard is clean. One request by text with a direct link, one reminder by email, never more. Replies to new reviews are drafted for you to approve.

What does it cost for a roofing company?

The licence is €7,512 a year with unlimited users and contacts. It includes 30 hours of onboarding; implementation beyond that is €85 an hour, agreed before any hours are billed. Email, SMS and call usage is billed as used at the published rates.
