Plastic surgery CRM that follows every enquiry to the surgery date
Your marketing produces the enquiry. The surgery is won or lost in the weeks after it: how fast someone replies, whether the consult happens, and whether anyone follows up the quote. A plastic surgery CRM replies in minutes, books the consult, keeps every unsigned quote on a follow-up plan and frees your coordinator to sell, while clinical records stay in your EMR.
For practices with 10 to 250 staff- Website consult forms
- Phone calls
- Instagram messages
- Review and directory sites
- Paid search
- Meta lead forms
- Referring doctors
- Past patients
- Non-surgical clients
- Seminar sign-ups
Expensive enquiries, slow replies, quiet quotes
A surgical patient researches for months, contacts several practices and books with the one that makes them feel looked after first. Practice consultants have been saying for years that most practices do not answer a website enquiry within minutes, and phone mystery shopping across aesthetic practices found many callers would not have booked with the practice they rang. Every one of those enquiries was paid for with SEO, ads or a directory listing.
The second leak is after the consult. The quote goes out, the patient wants to think it over, talk to a partner or wait for a bonus, and the follow-up depends on a patient coordinator who is also answering the phones, checking people in and booking pre-ops. The practice management system holds the clinical record well. It was never built to work a pipeline of unsigned quotes for three or four months.
Enquiries wait for the coordinator
A form at 21:00 is answered the next afternoon, after two other practices have already called.
Consults that do not happen
Booked consults are missed or rescheduled with no reminder sequence and no consult fee taken.
Quotes go quiet
The patient asked for time to decide, and nobody followed up after the first week.
No one knows which channel pays
Leads are counted. Booked surgeries are not traced back to the ad, the page or the referrer.
Every enquiry answered.
Every consult reminded.
Every quote followed up.
Every enquiry answered before the next practice calls back
The platform catches every channel, replies at once with the consult booking link, reads what the patient is asking for and puts it in front of the coordinator with the next step already offered.

What a slow first reply costs a surgical practice
Use last month's first-reply times and your own conversion figures. The result is your arithmetic, not a promise.
Based on the figures you entered
This is your own arithmetic on the figures you entered, not a result levelpartner.ai has produced for anyone.
How this is calculated
late enquiries = enquiries × share answered after an hour
low estimate: late enquiries × (your fast booking rate − your late booking rate)
high estimate: late enquiries × (your fast booking rate − your fast rate ÷ 7)
revenue = meetings lost × your close rate × first-year value
The low end uses only your own booking rates. The high end applies the finding that enquiries reached within an hour were nearly seven times as likely to qualify (B-01). That study is from 2011, covers many sectors and describes likelihood, not a promise. Speed does not turn a poor lead into a good one.
Sources for the defaults. B-01: Oldroyd, McElheran and Elkington, "The Short Life of Online Sales Leads", Harvard Business Review (figures as quoted in SmartCompany coverage), published March 2011 (source, checked 2026-10-16).
Worked example. 100 enquiries a month, half answered after an hour, booking rates of 20% (fast) and 10% (late), a 25% close rate and a first-year value of 5,000: about 5 to 9 meetings a month, worth roughly 6,250 to 10,710 of first-year revenue each month.
What a plastic surgery CRM needs to do
Six parts of the platform carry most of the weight in a surgical practice. Together they cover the commercial side from first message to deposit, and leave the clinical record where it is.
A first reply in minutes, at any hour
Website chat, SMS, Instagram, Facebook and WhatsApp enquiries are answered by an AI agent trained on your procedures pages, fees policy, consult process and surgeon availability. It books the consult and never discusses suitability or risk; those go to the team. Run it in suggestion mode first, so a coordinator approves each reply.
A consult-to-surgery pipeline
Stages for enquiry, consult booked, consult attended, quote sent, deposit paid and surgery booked, each with a value. Booking a consult or taking a deposit moves the deal on its own, and a quote that has sat too long raises a task for the coordinator.
Consults that happen
In-clinic and virtual consult calendars per surgeon, with the consult fee taken at booking if you charge one, confirmations, reminders the day before and on the day, and a reschedule link. A missed consult starts a rebooking sequence instead of disappearing.
Long, respectful follow-up
Most surgical decisions take weeks or months. Patients who are not ready get useful education by email, such as what recovery planning involves and how financing works, with an easy way to ask a question or book a second consult.
Pre-consult forms that save surgeon time
Collect goals, timing and practical questions before the consult with a short form that writes to the record. Medical history and consent stay in your EMR's own intake.
Know which marketing books surgery
Every enquiry keeps its source, so you can compare channels on booked cases and revenue rather than leads. A weekly report goes to the surgeon and practice manager by email.
- When a consult is marked attended
- If no surgery date within two days
- Then send the thank-you and the answers to their questions
- Then coordinator call after a week, then monthly
- Stop when a deposit is paid or the patient says no
What surgical practices set up first
Each part writes to the same patient-enquiry record, so the coordinator sees source, conversations, consult, quote and deposit in one place.
Consult to close, on a plan
When a consult is marked complete without a surgery date, a follow-up plan starts: a thank-you, the answers to the questions they asked, financing information, before-and-after galleries, then coordinator calls at the intervals you set. It stops the moment a date is booked.
Calls answered when the desk is full
An AI voice agent answers overflow and after-hours calls, takes the enquiry, offers consult times and hands anything clinical to the team.
Consult fees and deposits
Take a consult fee when the consult is booked and a surgery deposit by payment link, both on the same record.
Reviews at the right moment
Ask for a review once the patient is happy with the result, not on the day of surgery, and see replies in one place.
Booked surgery by source
Trace each booked case back to the channel, campaign and page that produced the enquiry.
Keep the EMR. Replace the scraps of paper around it.
Most practices run the clinical record in a specialist system, then work enquiries from a shared inbox, a call log, sticky notes and the coordinator's memory, with a separate texting tool, review tool and email platform on top.
The usual practice stack
- Enquiries split across email, voicemail, directory inboxes and social apps
- Quote follow-up kept in the coordinator's head or a spreadsheet
- Texting, reviews and email campaigns in separate tools
- Marketing judged on leads, not on booked surgery
One platform beside your EMR
- Every enquiry on one record with its source
- Unsigned quotes on a follow-up plan with tasks
- Texting, reviews and campaigns on the same record
- Booked surgery traced back to the channel
Medical history, clinical notes, photos, consent and pre-op instructions stay in your EMR. The platform holds enquiries, consult bookings, fees, quotes as commercial documents and marketing consent. Check with your adviser how enquiry and appointment data is treated under the rules that apply to you before connecting the two.

Questions buyers ask
What is the best CRM for a plastic surgery practice?
One that works the commercial side your EMR does not: a first reply in minutes on every channel, consult booking with fees and reminders, a consult-to-surgery pipeline, long follow-up for patients who are not ready yet, and reporting on booked cases by source. It should sit beside your clinical system, not ask you to move clinical records into it.
How do plastic surgeons get more consultations to book surgery?
Answer fast, prepare the patient before the consult, and follow up after it for as long as the decision takes. Send the answers to the questions they asked, financing information and a clear way to book a second consult, then have the coordinator call at set intervals. Silence after a quote reads as indifference; regular, useful contact does not.
Can an AI agent talk to cosmetic surgery patients?
For logistics, yes: fees policy, consult types, surgeon availability, directions and booking. Set it to hand anything about suitability, risks or recovery to your team straight away, and run it in suggestion mode until your coordinators are happy with every draft.
Does it replace our practice management system or EMR?
No. Keep the EMR for history, notes, photos, consent and surgical scheduling. Use the platform for enquiries, consults, quotes, deposits, follow-up, reviews and marketing. During onboarding we agree which system owns which data so nothing is entered twice.
Is it HIPAA compliant?
Do not treat any marketing system as compliant by default. Decide with your compliance adviser what may sit in the platform, keep clinical records in your EMR, and keep examples, forms and messages free of medical detail. The same applies under UK GDPR and the equivalent rules in other countries.
What does a plastic surgery CRM cost on the platform?
The licence is €7,512 a year with unlimited users and contacts, so surgeons, coordinators and front desk staff all get a login at no extra cost. It includes 30 hours of onboarding; implementation beyond that is €85 an hour, agreed before any hours are billed. Email, SMS and call usage is billed as used at the published rates.
