Pool builder CRM that answers every call in dig season

The phone rings hardest when the crews are digging, and the homeowner who reaches voicemail calls the next builder on the list. A pool builder CRM with an AI voice agent answers every call, books the backyard design consultation and keeps a nine-month decision warm until the contract is signed.

For pool builders with 10 to 250 staff
  • Google search and maps
  • Facebook and Instagram ads
  • Home and garden shows
  • Past clients and neighbours
  • Lead and review sites
  • Website design forms
  • Showroom visits
  • Renovation and resurfacing calls
  • Landscaper referrals
  • Yard signs on active builds
The situation

The busiest week is the week leads go unanswered

Pool demand arrives in a rush. The quoting season starts in late winter, peaks in spring and lands on top of the crews you are trying to keep moving. The owner or the lead designer is on a job site, the office is chasing permits, and calls go to voicemail. Homeowners shopping for a pool usually ask several builders at once, so the first one who answers properly gets the design consultation. One homeowner review puts it plainly: the other companies they got quotes from did not return their calls.

The second leak comes after the design. A backyard pool is one of the largest purchases a household makes, and buyers commonly take months between the first visit and the signature: financing, HOA approval, a second opinion, a spouse who wants to wait for the tax refund. That is where most pool sales stall. The rendering goes out, nobody follows up, and the file goes cold in a spreadsheet until the next spring.

Calls missed on dig days

The people who sell are on site in peak season, so the first call goes to voicemail and the homeowner rings the next builder.

Designers drive to tire kickers

A two-hour backyard visit gets booked before anyone has asked about budget, access, timing or who decides.

Proposals go quiet

The rendering and the price go out, the homeowner says they will think about it, and no one owns the follow-up.

Old estimates are forgotten

Last year's unsigned designs, renovations and past clients sit in a list nobody works in the off-season.

Every call answered.

Every design followed up.

Every old estimate worked.

The price of doing nothing

What slow replies cost a pool builder in the quoting season

Put in your own figures from last spring. The result is your arithmetic, not a promise.

Your enquiries
Check last month's first reply times.
In your currency.

Fixed in the calculation

  • How much more likely an enquiry reached within the hour is to qualify: about 7 times (source B-01, below)

Based on the figures you entered

Meetings lost each month2 to 3
First-year revenue at stake each month€30,000 to €51,430
Over a year€360,000 to €617,100

This is your own arithmetic on the figures you entered, not a result levelpartner.ai has produced for anyone.

How this is calculated

late enquiries = enquiries × share answered after an hour

low estimate: late enquiries × (your fast booking rate − your late booking rate)

high estimate: late enquiries × (your fast booking rate − your fast rate ÷ 7)

revenue = meetings lost × your close rate × first-year value

The low end uses only your own booking rates. The high end applies the finding that enquiries reached within an hour were nearly seven times as likely to qualify (B-01). That study is from 2011, covers many sectors and describes likelihood, not a promise. Speed does not turn a poor lead into a good one.

Sources for the defaults. B-01: Oldroyd, McElheran and Elkington, "The Short Life of Online Sales Leads", Harvard Business Review (figures as quoted in SmartCompany coverage), published March 2011 (source, checked 2026-10-16).

Worked example. 100 enquiries a month, half answered after an hour, booking rates of 20% (fast) and 10% (late), a 25% close rate and a first-year value of 5,000: about 5 to 9 meetings a month, worth roughly 6,250 to 10,710 of first-year revenue each month.

What it does

What a pool builder CRM needs to do

Six parts of the platform matter most to pool companies. The aim is not more software. It is that selling keeps moving while the people who sell are building.

A sales pipeline in pool stages

Stages for new enquiry, design consultation booked, design presented, proposal sent, financing and HOA, signed and deposit paid, each with a value. Booking a visit or sending a proposal moves the deal on its own. A stale-deal rule flags any design that has sat in one stage for longer than you set, so a quiet homeowner gets a call before the file is cold.

How pipelines work

AI agents that qualify before the drive

An AI agent answers website chat, text, Facebook, Instagram and WhatsApp enquiries from your own information: pool types, service area, typical timelines and how your design process works. It asks the questions your designers need before a visit and books the consultation. Start it in suggestion mode, where it drafts replies for a person to send.

AI agents and chat

Follow-up that lasts as long as the decision

After the design is presented, a workflow sends the proposal, a reminder if it is not opened, and a sequence that runs for months: build photos, what happens on dig day, how the warranty works. A reply or a booked call stops the sequence and alerts the designer.

Workflows

Off-season campaigns to old estimates

Unsigned designs from last year, renovation enquiries and past clients due for resurfacing, a heater or a cover go into segmented email and text campaigns in the slow months. Check the consent and texting rules that apply where your homeowners live before you send.

Email marketing

Deposits and progress payments on the record

Send the deposit request when the contract is signed and progress invoices at the stages in your contract, such as excavation, gunite or shell, and plaster, by payment link. Financing stays with your lender partner. The platform tracks where the homeowner is in that step.

Payments and invoicing

Reporting on which leads build pools

Every enquiry keeps its source, so you can see whether home shows, paid search or referrals produce signed contracts, not just calls. Schedule the weekly report to the owner's inbox before the Monday sales meeting.

Reporting and attribution

A follow-up rule, as it reads
  1. When a deal reaches design presented
  2. If no reply or booked call within five days
  3. Then text the homeowner and create a call task for the designer
  4. If still quiet after the season
  5. Then move to the off-season campaign
What it replaces

From a phone, a spreadsheet and a design tool to one pool builder CRM

Most pool companies sell across a mobile phone, a shared inbox, a lead spreadsheet, a 3D design tool, a proposal template and a construction management tool. The design tool and the build schedule are good at their jobs. The gap is everything before the signature and after the handover.

The usual pool sales stack

  • Calls to a mobile that goes to voicemail on site
  • Leads in a spreadsheet and in personal texts
  • Proposals as attachments with no reminder
  • Old estimates and past clients never contacted again

One platform

  • Every call answered and logged on the homeowner record
  • Design consultations booked from live calendars
  • Proposals signed with a deposit and followed up for months
  • Off-season campaigns and review requests that run on their own

Keep your 3D design software and your construction scheduling tool. The platform is one licence with unlimited users, so designers, office staff and project managers all work from the same homeowner record at no extra seat cost. Teams moving off HubSpot, Salesforce or Pipedrive usually do it to bring calls, texting, booking and payments onto that record.

What it costs

One licence, no tiers

Every feature is available on one licence, with no tiers to climb and no per-seat fees. Usage is billed as used, including WhatsApp, premium workflow steps, local listings sync and AI; implementation and custom work are priced separately and agreed before any work starts.

FAQ

Questions buyers ask

What is the best CRM for pool builders?

One that works before the contract, not just during the build. Look for calls answered and logged when the office is busy, design consultation booking from live calendars, a pipeline in pool stages, proposals with e-signature and deposit, and follow-up that runs for months without someone remembering.

Does it replace our pool design or construction management software?

No. Keep the 3D design tool your designers use and the scheduling tool that runs your crews and subcontractors. The platform covers enquiries, calls, booking, proposals, deposits, follow-up, reviews and marketing. A simple project pipeline can keep homeowners updated at each build stage if you want that here too.

How do pool builders stop missing calls in peak season?

Put an AI voice agent on the line for calls the office cannot take, and turn on a missed-call text back for the rest. The agent answers in your company name, asks your questions and books the design consultation. Every call, answered or not, lands on the homeowner record with a summary.

How do you follow up on a pool quote without being pushy?

Give the homeowner something useful each time: a build gallery close to their design, an explanation of what happens on dig day, an update on your schedule for next season. Automate the rhythm, stop it the moment they reply, and let the designer make the personal call when the pipeline flags a quiet deal.

Can we take pool deposits through the platform?

Yes. Send the deposit request or a progress invoice by payment link, by text or email, and keep it on the deal. Financing stays with your lender partner, and you should check the consumer credit and contract rules that apply in your area before you describe any finance offer.

What does it cost for a pool company?

The licence is €7,512 a year with unlimited users and contacts. Implementation beyond the included 30 hours is €85 an hour, agreed before any hours are billed. Email and SMS usage is billed as used at the published rates.
