For wedding and event venues

Wedding venue CRM that answers couples first and books the tour

Newly engaged couples enquire with several venues on the same evening and book a visit with whichever answers first with a price and a date. A wedding venue CRM answers every enquiry in minutes with your brochure and availability, books the show-round, follows up after the visit and takes the deposit online, while your coordinators run the weddings already in the diary.

The situation

The first venue to reply gets the visit

Couples start looking for a venue soon after they get engaged, and most do it in the evenings and at weekends. They send the same enquiry to a handful of venues and wait to see who answers with the two things they want: is our date free, and about what will it cost. The venue that replies first, clearly and with a tour time, usually gets the visit. The one that replies on Tuesday morning is competing for second place.

Venue teams know this and still struggle to do it. Enquiries come in by email, directory messages, Instagram, texts to a personal phone and the website form. The same coordinators who should reply are running a wedding on Saturday, a tasting on Thursday and a final details meeting in between. Couples who visit and go quiet get one follow-up at most. Couples go silent after a first message, directory leads never reply, and suppliers on review sites complain of paying for listings that send enquiries nobody can convert.

The tools add friction of their own. Venue software reviews mention contracts that turn out to run a full year, email threads that do not reach the couple, and payment schedules that are awkward to split. The fix is one record per couple, from the first message to the final balance.

Enquiries answered next day

Evening and weekend enquiries wait for office hours, and the couple has booked a visit somewhere else.

Price questions handled by hand

Every enquiry asks the same three questions, and a coordinator types the same answers and attaches the same brochure.

Couples go quiet after a visit

A great show-round gets one thank-you email, then nothing, while the couple tours three more venues.

Deposits and contracts chased

Holds expire, contracts sit unsigned and payment schedules are tracked in a spreadsheet.

Every enquiry answered.

Every visit confirmed.

Every couple followed up.

What happens to a lead

From enquiry to show-round without the back-and-forth

Once a couple knows the date is free and the price is in range, the next step is a visit. The platform books it, confirms it and makes sure your coordinator knows who is coming.

The price of doing nothing

Where wedding enquiries leak before a booking

Put in your own enquiry and booking figures. The result is your arithmetic, not a promise.

Your pipeline
In your currency.

Based on the figures you entered

Enquiries that never get a reply, per month20
Replied to but never a real conversation, per month32
First-year revenue at stake each month€6,000 to €22,000

This is your own arithmetic on the figures you entered, not a result levelpartner.ai has produced for anyone.

How this is calculated

value of a booked meeting = your close rate × first-year value

low estimate: enquiries with no reply × your conversation rate × your booking rate × value of a meeting

high estimate: the low estimate + enquiries replied to without a conversation × your booking rate × value of a meeting

The low figure counts only enquiries nobody replied to. The high figure adds enquiries that got a reply but never became a conversation. Not every one of them was winnable.

Worked example. 100 enquiries, 80% replied to, 60% of those reach a conversation, 40% of conversations book, 25% of meetings close at 5,000: 20 enquiries get no reply and 32 never reach a conversation, roughly 6,000 to 22,000 of first-year revenue at stake each month.

What it does

What a wedding venue CRM has to do

Six parts of the platform matter most to venues. The point is that sales keeps moving on the weekends your team is busiest delivering weddings.

A sales pipeline from enquiry to final balance

Stages for enquiry, replied, show-round booked, visited, date held, contract sent, booked and final balance paid, each with the wedding value. Holds that are about to expire and contracts left unsigned trigger a task, so dates are not lost by accident.

Pipelines

Follow-up after the visit

A thank-you the same day with photos of the spaces they saw, a real wedding from a similar season a few days later, and a check-in before the hold expires. Any reply stops the sequence and hands the conversation to your coordinator.

Workflows

Every enquiry channel in one inbox

Directory messages, website forms, email, Instagram, Facebook, WhatsApp and texts land in one thread per couple. Whoever is on shift can see the whole conversation and reply.

Unified inbox

Pricing forms that qualify

A short enquiry form asks for the date or season, guest count and ceremony type, then sends the right brochure. Couples who are far outside your capacity get a kind, useful reply rather than silence.

Forms and surveys

Contracts, deposits and payment schedules

Contracts with e-signature, card deposits and scheduled instalments with reminders before each one is due. Your coordinators stop chasing balances in the weeks before the wedding.

Payments and invoicing

Open days and late availability campaigns

Invite past enquiries to your open day, and send late availability dates to couples who wanted your venue but not the price for a peak Saturday. Email and text campaigns go to the right segment, with replies routed to the team.

Email marketing

A post-visit rule, as it reads
  1. When a show-round is marked as held
  2. Then send the thank-you with photos the same evening
  3. If no reply after four days
  4. Then send a real wedding from their season
  5. Always alert the coordinator before the hold expires
What it replaces

From inbox, spreadsheet and directory app to one record

A typical venue runs enquiries through a shared inbox and a directory's own app, tracks holds in a spreadsheet or a diary, sends contracts from one tool, takes deposits in another and asks for reviews when someone remembers.

The usual venue set-up

  • Enquiries split between email, directories and Instagram
  • Holds and deposits tracked in a spreadsheet
  • Contracts, payments and reminders in separate tools
  • No clear view of which directory produces bookings

One platform

  • Every couple on one record, with its source
  • Holds and contracts that alert before they lapse
  • Signature, deposit and instalments on the same record
  • Bookings and revenue by source

One licence with unlimited users, so every coordinator, events manager and owner has a login at no extra cost. Floor plans, catering and supplier tools can stay where they are.

One licence, no tiers

Every feature is available on one licence, with no tiers to climb and no per-seat fees. Usage is billed as used, including WhatsApp, premium workflow steps, local listings sync and AI; implementation and custom work are priced separately and agreed before any work starts.

FAQ

Questions buyers ask

What is the best CRM for wedding venues?

One built around the way couples buy: a fast first reply with availability and pricing, an easy show-round booking, follow-up after the visit, date holds that do not lapse by accident, and contracts and deposits on the same record. Check it handles every channel couples use, including directories and Instagram.

How quickly should a wedding venue reply to an enquiry?

As fast as you can, and with substance. Couples contact several venues at once and often visit the first that answers clearly. An instant reply that includes availability, a pricing guide and tour times does more than a fast reply that only says thanks.

Should we put prices in the first reply?

Most venues that do it well send a pricing guide or a from price with the first reply. It lets couples rule themselves in or out, so your show-rounds go to people who can book. Keep it current, and let a coordinator handle bespoke quotes.

How do we follow up after a venue tour without being pushy?

Send a thank-you the same day with something useful, such as photos of the spaces they saw. A few days later, share a real wedding from a similar season. Check in once more before their hold expires. Stop as soon as they reply and let a person take over.

Can couples pay deposits and instalments online?

Yes. Send the contract for e-signature, take the deposit by card and schedule the remaining instalments with reminders before each one. Make sure your cancellation and refund terms are clear in the contract, and check the consumer rules where you trade.

What does it cost for a venue?

The licence is €7,512 a year with unlimited users and 30 hours of onboarding included. Work beyond that is €85 an hour, scoped and agreed before it starts. Email, SMS and WhatsApp usage is billed as used at the published rates.
