Legal CRM for intake-heavy law firms

A prospective client calls while your intake team is on another line, gets voicemail and rings the next firm on the list. A legal CRM built for intake answers every call, text and web form at once, asks your screening questions, books the consultation and follows up until the engagement letter is signed. Matters stay in your case management system.

The situation

The firm that answers first usually gets the matter

People with a legal problem rarely call one firm and wait. They call several, often in the evening or at the weekend, and they instruct the one that answers, sounds competent and books them in. Firms that audit their own call recordings usually find the gap is not after hours alone. Calls ring out in the middle of the day because the intake person is already on the phone and overflow goes to a voicemail nobody checks until the afternoon.

Then the second contact slips. A web form arrives and nobody owns it. A family law prospect says they need to talk it over with a relative, and the follow-up that should have gone out on Thursday never does. A consultation is booked and missed, and nobody calls to rebook because it feels awkward. Each of those is a matter the firm paid to attract and lost to silence.

Most firms try to fix this with a dedicated intake CRM bolted onto their practice management system. That usually means intake on a separate subscription, automations someone has to build and maintain, and a set-up project that competes with client work. The result is often a second database the team stops updating.

Calls ring out at busy times

Intake is on another line, overflow goes to voicemail, and most callers do not leave a message.

Nobody owns the second contact

Web forms and voicemails wait for whoever notices them first, which often means nobody.

Consultations go missing

A booked consultation is missed and nobody calls to rebook, so the prospect hires someone else.

Intake is a separate tool

Screening, booking, texting and review requests live in different subscriptions that never quite agree.

Every call answered.

Every enquiry screened.

Every consultation followed up.

What happens to a lead

Every enquiry screened and booked with the right lawyer

The platform asks your intake questions, decides which practice area and lawyer the enquiry belongs to and books the consultation. Matters you do not take get a useful answer, not silence.

The price of doing nothing

What a slow first answer costs your firm

Put in your own intake figures. The result is your arithmetic, not a promise, and some enquiries are not matters you would take anyway.

Your enquiries
Check last month's first reply times.
In your currency.

Fixed in the calculation

  • How much more likely an enquiry reached within the hour is to qualify: about 7 times (source B-01, below)

Based on the figures you entered

Meetings lost each month5 to 9
First-year revenue at stake each month€6,250 to €10,710
Over a year€75,000 to €128,600

This is your own arithmetic on the figures you entered, not a result levelpartner.ai has produced for anyone.

How this is calculated

late enquiries = enquiries × share answered after an hour

low estimate: late enquiries × (your fast booking rate − your late booking rate)

high estimate: late enquiries × (your fast booking rate − your fast rate ÷ 7)

revenue = meetings lost × your close rate × first-year value

The low end uses only your own booking rates. The high end applies the finding that enquiries reached within an hour were nearly seven times as likely to qualify (B-01). That study is from 2011, covers many sectors and describes likelihood, not a promise. Speed does not turn a poor lead into a good one.

Sources for the defaults. B-01: Oldroyd, McElheran and Elkington, "The Short Life of Online Sales Leads", Harvard Business Review (figures as quoted in SmartCompany coverage), published March 2011 (source, checked 2026-10-16).

Worked example. 100 enquiries a month, half answered after an hour, booking rates of 20% (fast) and 10% (late), a 25% close rate and a first-year value of 5,000: about 5 to 9 meetings a month, worth roughly 6,250 to 10,710 of first-year revenue each month.

What it does

What a legal CRM needs to do

Six parts of the platform matter most to intake-heavy firms. Each writes to the same contact record, so the intake history is in one place when the matter is opened in your case management system.

An AI receptionist for the calls you miss

An AI voice agent answers when intake is busy or the office is closed. You write what it asks, what it may and may not say, and when it hands over to a person. It never gives legal advice. Every call keeps a recording, transcript and summary. Or start smaller with missed-call text back, which texts the caller from the number they dialled.

AI phone and receptionist

Intake that asks your questions

An AI agent answers website chat, text and WhatsApp from your own information and asks the screening questions for each practice area. Run it in suggestion mode, where it drafts and your intake team sends, until you trust what it writes.

AI agents and chat

An intake pipeline with an owner

Stages for new enquiry, contacted, screened, consultation booked, consultation held, engagement sent and signed. Each enquiry has a named owner, and a stale rule flags anything that has not moved in the hours or days you set.

How pipelines work

Consultations people turn up to

Booking pages per lawyer or practice area, with round-robin where several lawyers share consultations. Confirmations and reminders go by text and email, and a missed consultation triggers a rebooking message and a task to call.

Calendars and booking

Follow-up that does not depend on memory

When a prospect asks for time, a workflow sends the follow-up on the day you choose, and keeps going on a polite rhythm until they book, sign or say no. When the engagement letter is out for signature, it chases that too.

Workflows

Intake forms that write to the record

Online intake forms and questionnaires, with file upload, write straight to the contact record, so nobody types the same facts twice. Use them before the consultation so the lawyer starts with the basics.

Forms and surveys

A routing rule, as it reads
  1. When an intake conversation is scored
  2. If matter type is personal injury and the incident was within your time limits
  3. Then assign to the injury team and offer a consultation today
  4. Else send a polite reply with a referral contact
  5. Always save the answers and the transcript on the contact
What it replaces

From an intake add-on and four other tools to one system

A typical firm runs intake across a phone system, a voicemail inbox, an answering service, a separate intake CRM, a scheduling link, a texting app and a review tool. Case management holds the matters and should stay exactly where it is. The platform runs everything before the matter is opened and around the client after it.

The usual intake stack

  • Voicemails and web forms waiting for whoever notices them
  • Intake CRM sold as a separate subscription
  • Scheduling, texting and reviews in three more tools
  • No report that ties a signed matter to its source

One platform

  • Every call, form and chat on one contact, with an owner
  • Intake, booking, texting and reviews on one licence
  • Follow-up and rebooking that run on their own
  • Signed matters traced back to the channel that produced them

One licence with unlimited users, so adding an intake specialist or a new associate adds no seat fee. Your case management system keeps the matter, the documents and the time records.

What it costs

One licence, no tiers

Every feature is available on one licence, with no tiers to climb and no per-seat fees. Usage is billed as used, including WhatsApp, premium workflow steps, local listings sync and AI; implementation and custom work are priced separately and agreed before any work starts.

FAQ

Questions buyers ask

What is a legal CRM?

Software for the part of the client relationship before a matter is opened: enquiries, intake questions, consultations, follow-up and the signed engagement. It sits beside your case management system, which holds the matter itself. A good one also tells you which channels produce signed clients, not just calls.

What is the difference between a legal CRM and case management software?

Case management runs the matter: documents, deadlines, time and billing. A legal CRM runs everything before that and the relationship around it. Most firms keep both. The platform passes the contact and intake answers across so the matter starts with the facts already captured.

Can an AI receptionist handle law firm intake calls?

It can answer, ask your screening questions, book the consultation and pass a summary to the right lawyer. It must not give legal advice, and you set what it may say and when it hands over to a person. Check your own professional conduct rules on AI, recording calls and communicating with prospective clients before you switch it on.

Does it run conflict checks or hold client files?

No. Conflict checks, engagement terms, matter files and client money stay in your case management and accounts systems. The platform collects the names and facts you need for the conflict check and hands them over. Your team still runs the check.

Can we text prospective clients?

Yes, two-way text and WhatsApp work from your business number, and contacts who opt out are respected automatically. US firms register their texting numbers with the carriers first. Rules on contacting prospective clients vary by jurisdiction and practice area, so confirm what your bar or regulator allows.

How long does it take to set up?

Most firms are live in two to four weeks. Start with call handling and missed-call text back, then the intake pipeline and consultation booking, then follow-up and review requests. The licence includes 30 hours of onboarding for that work.

What does a legal CRM cost on this platform?

The licence is €7,512 a year with unlimited users and 30 hours of onboarding included. Implementation beyond that is €85 an hour, agreed before any hours are billed. Email, SMS and voice usage is billed as used at the published rates.
